Position Summary for Senior Payroll Specialist:
Prepares bi-weekly payroll for the organization. Coordinates funding of all payroll-related liabilities (withholding taxes, garnishments, insurance premiums, etc.), prepares payroll tax returns, annual life insurance data, yearly W-2s, and other payroll-related reporting. Acts as the primary contact for payroll questions, instructions, training, and problem resolution. Ensures compliance with federal and state tax laws, as well as wage and hour regulations, through interpretation and application of applicable policies and laws.
Knowledge Requirements for Senior Payroll Specialist:
- Must Have 3+ years’ experience in all areas of payroll processing
- Knowledge of tax laws.
- Possesses strong analytical skills.
- Proficient 10-key skills.
- Demonstrates excellent telephone and interpersonal communication skills.
- Develops solutions to various problems utilizing strong problem-solving skills.
- Demonstrates excellent customer service skills when interacting with employees and managers.

Key Responsibilities for Senior Payroll Specialist:
- Collects and reviews employee timecards to ensure:
- Regular hours recorded are properly documented and consistent with hospital policy.
- If stated hours are under budget, employee PLH is used to bring them up.
- Paid leave hours reported have been earned and are authorized.
- Employees receiving special charge premiums have proper authorization.
- All other special adjustments, such as retroactive rate adjustments, are properly authorized with PA forms.
- Maintains all payroll reports produced by the computer system so they are easily accessible for reference.
- Prepares quarterly and year-end governmental payroll reports, including W-2 forms.
- Calculates and prepares garnishments.
- Reconciles deduction reports from the computer system, including medical, dental, life insurance, credit union, applicable union dues, and TSA billing.
- Prepares and distributes various management labor hour reports.
- Verifies records for unemployment, welfare, and wage reporting.
- Copies timecards and other records.
- Maintains filing systems.
- Verifies leave of absence (LOA) and termination dates.
- Updates payroll files as necessary.
- Prepares federal, state, and FICA tax withholding information for electronic funds transfer.
- Demonstrates confidentiality regarding patient and co-worker information.
- Reviews direct deposit information in preparation for electronic transmission.
- Takes corrective action for payroll check errors in accordance with hospital policy. All payroll errors are documented using a payroll discrepancy report initiated and signed by the employee's department head.
- Responds independently to correspondence by telephone and/or in writing, as appropriate.
- Manages complex tasks, prioritizes work, and follows through on assigned projects.
- Prepares sensitive and confidential information.
- Investigates over-budget hours for departments.
- Prepares manual payroll checks and annual bonus checks.
- Demonstrates the ability to work effectively in a team environment.
- Maintains cooperative and professional working relationships with staff and management by demonstrating respect, communicating clearly, and working to resolve interpersonal conflicts.
- Acts as the primary contact for payroll questions, instructions, training, and problem-solving.
- Responds to telephone calls and email messages in a timely manner.
