Proper Quality Cleaning is a growing residential cleaning company serving Maryland, Virginia, and Washington, DC. We are seeking a highly organized, proactive, and customer-focused Operations Coordinator & Executive Assistant to help support our growing business. We are a small business, which means every team member plays an important role in our success.
This position serves as the administrative hub of the company, supporting our clients, employees, recruiting efforts, and daily operations. The ideal candidate is an excellent communicator with strong attention to detail who enjoys building organized systems and helping a growing company operate efficiently.
This role will work closely with company leadership and field operations to ensure our customers receive exceptional service while supporting recruiting, scheduling, administrative operations, and continuous process improvement.
As Proper Quality Cleaning continues to grow, this position has the opportunity to expand in both responsibility and hours.
Client Communication & Customer Success
- Respond promptly to customer inquiries by phone, email, and text.
- Build and maintain strong client relationships.
- Prepare and send service estimates and quotes.
- Schedule new and recurring cleaning appointments.
- Conduct customer follow-ups before, during, and after services.
- Resolve customer concerns professionally and escalate issues when appropriate.
- Maintain accurate customer records and communication history.
- Assist with invoicing, collections, and payment follow-up.
Recruiting & Onboarding
- Drive recruiting efforts from sourcing candidates through onboarding.
- Create and manage job postings across multiple hiring platforms.
- Screen resumes and identify qualified candidates.
- Coordinate onboarding for new employees.
- Coordinate training of new cleaners
- Track recruiting metrics and hiring pipeline.
- Develop strategies to improve recruiting effectiveness and attract high-quality candidates.
- Support employee retention initiatives through proactive communication and follow-up.
Operations & Administration
- Own the day-to-day administrative operations of the business.
- Create and maintain daily and weekly cleaning schedules.
- Coordinate scheduling changes with field staff.
- Maintain company calendars, databases, and internal documentation.
- Assist with preparing reports and operational documentation.
- Keep employee records accurate and up to date.
- Support implementation of company policies and procedures.
- Assist leadership with administrative projects and special assignments.
Process Improvement & Technology
We are looking for someone who enjoys improving systems—not just maintaining them.
Responsibilities include:
- Identify opportunities to improve administrative workflows.
- Help implement AI tools and automation where appropriate.
- Create and maintain Standard Operating Procedures (SOPs).
- Recommend improvements that increase efficiency and improve the customer experience.
Qualifications
- Comfortable working in a growing small-business environment where priorities can change quickly and flexibility is essential.
- Demonstrated ability to work independently with minimal supervision and take ownership of outcomes.
- Comfortable making decisions and exercising sound judgment without waiting for detailed instructions.
- Previous administrative, office management, customer service, recruiting, or operations experience preferred.
- Outstanding written and verbal communication skills.
- Exceptional attention to detail.
- Highly organized and dependable.
- Ability to multitask and prioritize effectively.
- Comfortable learning new software and technology.
- Experience with Google Workspace, Microsoft Office, CRM systems, scheduling software, or applicant tracking systems preferred.
Position Details
- Part-time (20 hours per week to start).
- Primarily Fully remote.
- Candidate must be available during normal business hours on scheduled workdays.
- Occasional in-person meetings may be required.
- Additional hours and responsibilities may become available as the company continues to grow.
Compensation
- $25.00–$30.00 per hour, based on experience and qualifications.
