Position Summary
The Warrant/TAC Deputy performs specialized administrative, records management, and criminal justice information system duties within the Jerome County Detention Center as the Sheriff’s Office primary administrator for CJIS and ILETS security. This position is responsible for processing warrants, maintaining criminal justice information systems, serving as the agency's Terminal Agency Coordinator (TAC), administering Criminal Justice Information Services (CJIS) and Idaho Law Enforcement Telecommunications System (ILETS) security, user access, and compliance, preparing court and inmate documentation, and ensuring compliance with applicable federal, state, and local laws, regulations, policies, and criminal justice information system requirements.
Minimum QualificationsEducation & Experience
- High school diploma or GED.
- Experience in law enforcement, detention, corrections, records management, or office administration preferred.
Required Licenses & CertificationsRequired at Hire
- Valid Idaho Driver's License.
- Successfully pass a background investigation.
- Successfully complete the Criminal Justice Information Services (CJIS) Security & Privacy Awareness Training prior to being granted unescorted access to Criminal Justice Information (CJI) or CJIS-secured areas.
Required Within Three (3) Months of Hire
- Obtain and maintain Idaho Law Enforcement Telecommunications System (ILETS) Certification in accordance with Idaho State Police requirements.
Knowledge, Skills & Abilities
- Knowledge of general office practices and records management principles.
- Knowledge of detention operations, criminal justice records, and warrant processing procedures preferred.
- Ability to accurately enter, retrieve, and maintain data within computerized information systems.
- Ability to interpret and apply applicable federal, state, and local laws, policies, procedures, and regulations.
- Ability to maintain strict confidentiality and handle sensitive information with professionalism and discretion.
- Strong organizational skills with exceptional attention to detail.
- Effective written and verbal communication skills.
- Ability to establish and maintain effective working relationships with employees, law enforcement agencies, courts, attorneys, inmates, and the public.
- Ability to prioritize multiple assignments, exercise sound judgment, and meet established deadlines.
- Ability to obtain and maintain proficiency in the National Crime Information Center (NCIC), Idaho Law Enforcement Telecommunications System (ILETS), Criminal Justice Information Services (CJIS), and other criminal justice information systems in accordance with applicable laws, policies, and security requirements.
Essential FunctionsWarrant & Records Management
- Receives and processes warrants and protection orders from the courts.
- Arranges extraditions to and from Idaho through the Idaho Law Enforcement Telecommunications System (ILETS).
- Maintains and updates logs, records, and files related to warrants and protection orders.
- Enters civil protection orders and no-contact orders into the ILETS system and removes them as required.
- Processes other teletype transactions as required by department personnel.
- Enters stolen property and stolen vehicles into the appropriate criminal justice information systems.
- Ensures appropriate personnel receive training related to warrant entry, clearing, locating, and teletype warrant transmissions.
Terminal Agency Coordinator (TAC) Responsibilities
- Serves as the agency's Terminal Agency Coordinator (TAC) for the Idaho Law Enforcement Telecommunications System (ILETS) and Criminal Justice Information Services (CJIS).
- Administers user access and ensures compliance with CJIS Security Policy and ILETS requirements.
- Coordinates required CJIS Security & Privacy Awareness Training and monitors user certification and access requirements.
- Serves as the Local Agency Security Officer (LASO) when a separate LASO has not been designated.
- Acts as the primary liaison with the Idaho State Police regarding CJIS, ILETS, audits, user access, and compliance matters.
- Maintains compliance with CJIS Security Policy, Idaho State Police requirements, and all applicable federal, state, and local laws, regulations, policies, and criminal justice information system standards.
Administrative Support
- Answers telephones and directs incoming calls to the appropriate individuals.
- Responds to general inquiries regarding inmates housed at the Jerome County Detention Center.
- Assists the Jail Administrator with administrative, operational, and other related duties as assigned.
- Demonstrates flexibility by adapting to changing priorities and performing multiple tasks as needed.
Physical Requirements
- Primarily performs sedentary office work within a secure detention facility.
- Frequently sits for extended periods while performing computer and clerical work.
- Frequently uses a computer, keyboard, telephone, copier, scanner, and other office equipment.
- Reads written documents and computer screens.
- Communicates effectively in person and by telephone or radio.
- Occasionally stands, walks, bends, reaches, stoops, and lifts office files or supplies up to approximately 20 pounds.
- Possesses sufficient vision, hearing, manual dexterity, and cognitive ability to safely perform the essential functions of the position.
Working Conditions
Work is performed primarily in a private office located within the Jerome County Detention Center adjacent to the booking area. The position regularly interacts with detention staff, law enforcement agencies, courts, attorneys, inmates, and the public. Employees work within a secure correctional environment and may occasionally be exposed to loud noise, disruptive behavior, verbal confrontations, emergency situations, infectious diseases, and other conditions associated with detention operations.
