POSITION SUMMARY
As the Fulfillment and Inventory Coordinator, you will maintain and execute a smooth workflow throughout the internal and external shipping and packaging life cycle. In addition, you will be responsible for maintaining accurate inventory records. Your day-to-day focus will be to pack and ship orders with a high degree of accuracy and compliance. A successful Fulfillment and Inventory Coordinator is a self-starter, who is able to work both independently and collaboratively with relevant teams, and who seeks opportunities to continuously improve our internal and external workflows related to fulfillment and inventory management.
RESPONSIBILITIES:
Order Fulfillment
- Accurately and timely complete all tasks required for order fulfillment, including counting/measuring, packaging, labeling, quality checks, and shipping through carriers.
- Ensure outgoing packaging and shipping meets quality measures and compliance with state, federal, and international regulations.
- Take accurate QC photos or other appropriate documentation for each shipment.
- Maintain a continual focus on presenting both our company and products in the most professional and positive way.
- Maintain appropriate phytosanitary measures while packing and handling seed.
- Track and update the status of incoming and outgoing shipments.
- Ensure COAs or other certifications are included for shipments where appropriate.
- Accurately complete Hemp Seed Services Request Form for all Pest & Disease inspection testing
- Accurately prepare and complete paperwork for International shipments, including completing the Phytosanitary certification application if phyto is required.
- Provide backup coverage for creating invoices and sales orders as needed.
Inventory Management
- Maintain accurate inventory count and records.
- Notify appropriate parties when inventory falls below established thresholds.
- Complete data entry for processes and any other necessary documentation so that records are up to date and accurate daily.
- Complete weekly assessment to ensure all processes are complete and accurate.
- Maintain storage of product in an organized fashion.
- Actively monitor and maintain storage of product following established storage procedures to ensure viability of the product. Promptly report any concerns or deviations that occur in the storage conditions and follow up until resolved.
- Accurately maintain scale calibration and resolve or report any concerns promptly.
- Intake new seed lots including receiving, weighing/taking initial TSW, conducting a basic visual inspection, and documenting according to established processes.
- Accurately create and maintain records and liaise with the intake team to complete.
- Maintain compliance with hemp regulations related to shipping and inventory management.
Administration, Office Coor
- Monitor and maintain equipment in good repair, and proactively report any issues that cannot be resolved with regular maintenance (for example, seed storage refrigerators and dehumidifiers, scales, seed counters, labeler).
- Maintain all areas of the office and fulfillment areas in a clean and orderly condition.
- Maintain office supply inventory so that both shortages and excess supply are avoided.
- Maintain inventory of marketing materials and other supplies stored in the fulfillment office.
- Manage incoming mail including depositing checks electronically and communicating with the Finance Department.
- Act as the onsite liaison with the building office manager.
- Assist in the upkeep of standard operating procedures and make improvements where necessary.
- Ability to both work independently and collaboratively, depending on the circumstances.
POSITION QUALIFICATIONS, SKILLS, & ABILITIES
- High school diploma.
- Six months experience in an office or other administrative setting, ideally managing inventory or shipping functions.
- Experience in the hemp or cannabis industry is a plus but not required.
- Basic understanding of local, state, and federal regulations for shipping, or ability to learn.
- Ability to develop and follow protocols, policies and procedures with exactness.
- Very high attention to detail and ability to multitask.
- Focus on excellence in customer presentation and shipping of our product.
- Current experience with MS Office, Google Suite.
- Ability to sit and stand for prolonged periods.
- Ability to lift up to 50lbs minimum.
- Ability to perform repetitive motions with hands and arms.
- Comfortable working continually with a high workload all day.
- Must be a self-starter demonstrating initiative with the ability to work in an independent and organized manner.
- Reliable transportation to get to and from post office and/or other laboratory locations for intake and shipping as needed.

WORK ENVIRONMENT
Work is performed primarily in an office and/or manufacturing warehouse setting. Work is often performed in a fast-paced setting. The noise level in the work environment is usually quiet in office settings and moderate in other situations.
