Job Summary
We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves managing administrative tasks, coordinating communication, and supporting team productivity. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and technical proficiency to foster an efficient workplace. As the backbone of our office, you will play a key role in maintaining a welcoming atmosphere while handling essential clerical duties with precision and enthusiasm.
Responsibilities:
- Manage everyday office operations and support staff
- Coordinate calendar management and schedule appointments for team members
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle basic accounting, payroll tracking and run biweekly payroll
- Process invoices, track expenses, and manage vendor payments
- Solicitation of sub-contractor bids for commercial construction projects
- Contract compliance and filing
- Process and organize project contracts, bids and permits
- Process change orders and update contract files
- Act as the main link between field workers, executives and clients
- Collect and file progress reports sent from construction sites
- Organize blueprint versions, project submittals and transmittals
- Keep track of safety rules and building code files
- Organize blueprints, change orders and project schedules
- Track insurance certificates for all hired subcontractors
- Maintain employee training and certification logs
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and word processing tools
- Experience using QuickBooks and Procore
- Excellent organizational skills with the ability to multitask efficiently and prioritize workload effectively

Pay: $70,000.00 - $90,000.00 per year
