Summary:
The Transportation Customer Service Representative will work closely with the Transportation Manager in our Northern Region to coordinate vehicle maintenance and handle transportation route issues. The CSR will coordinate with all programs to maintain the vehicle service schedules utilizing the agency fleet maintenance software. The CSR is responsible for transportation billing using the Transportation Planning software. In addition, the CSR will assist the Transportation Manager in solving route problems by working with our internal and external customers (i.e. program managers, Residential managers and families). The CSR will also be responsible for assisting the Manager and Vice-President of Transportation with reporting for Federal and State transportation grants. The CSR is responsible for managing the afternoon routes on a daily basis.
Essential Functions:
- Review driver inspection sheets on a daily basis and ensure proper documentation and file daily
- Maintain vehicle records in agency vehicle maintenance software program
- Record and file mechanics vehicle work orders daily
- Schedule all agency vehicles for service using the maintenance software to track and record services
- Coordinate service appointments with appropriate agency departments
- Record all repair invoices in the maintenance program
- Track and record all vehicle parts inventory
- Verify vehicle maintenance record accuracy for DOT inspections
- Monitor and manage Transportation vehicle inspection sheets
- Enter vehicle mileage from Azuga GPS when needed
- Record mechanics time with specified vehicles daily
- Manage afternoon routes and provide direction to drivers as needed
- Responsible for internal and external transportation billing
- Any other data entry or duties as required by supervisor
- Perform bus routes and serve as a substitute bus aide when needed
- Attend necessary transportation meetings
Non-Essential Functions:
Reporting Responsibilities: Transportation Manager—Heidi Wyant
Supervisory Responsibilities: Supervise drivers and aides in the absence of the Transportation Manager. Assign bus routes in the absence of the Transportation Manager.
Knowledge, Skills, & Abilities:
- Provides excellent customer service and demonstrate strong professionalism.
- Possesses computer skills, proficiency in Microsoft Office with ability to learn other programs.
- Ability to obtain and maintain CDL C with P/S endorsements within six months of starting position.
- Possesses strong eye for detail.
Physical Requirements: Must be able to pass a DOT physical and NYS SED Physical Performance test for bus drives.
Working Conditions:
May need to act as a substitute bus driver or bus aide in emergency situations.
Minimum Qualifications:
HS Diploma or equivalent
Proficient in Microsoft Office
Ability to obtain and maintain a CDL C with P/S endorsement
Flexibility with schedule and job assignments
