Finance & Operations Coordinator

About the Role
We are looking for a highly organized, detail-oriented, and responsible Finance & Operations Coordinator to support the day-to-day financial, operational, and administrative needs of our growing businesses.
This is a cross functional role that combines basic financial management, order coordination, executive assistance, and business operations support. The ideal candidate is comfortable handling multiple priorities, maintaining accurate records, following up on orders and projects, and coordinating with different internal teams, vendors, and business partners.
Key ResponsibilitiesFinance & Bookkeeping Support
- Maintain accurate records of company income, expenses, payments, invoices, and reimbursements.
- Organize and update financial documents, receipts, bank records, and transaction reports.
- Assist with accounts payable and accounts receivable tracking.
- Monitor outstanding payments and follow up on invoices when necessary.
- Prepare basic financial summaries and expense reports for management review.
- Coordinate with the company’s accountant, bookkeeper, payroll provider, or other financial service providers.
- Ensure financial documents and records are properly organized and filed.
Order and Project Coordination
- Track purchase orders, production orders, shipments, deliveries, and project timelines.
- Follow up with suppliers, manufacturers, warehouses, logistics partners, and internal teams.
- Maintain accurate order records and provide regular status updates.
- Identify delays, missing information, or potential operational issues and communicate them promptly.
- Coordinate documents, samples, packaging materials, and other items required for order fulfillment.
- Support inventory, purchasing, and supply chain-related administrative tasks.
Executive and Administrative Support
- Provide daily administrative support to company leadership.
- Organize meetings, schedules, documents, reports, and follow-up items.
- Take meeting notes and turn discussions into clear action items.
- Follow up with team members to ensure assigned tasks are completed on time.
- Assist with email communication, document preparation, data entry, and file organization.
- Handle sensitive company and financial information with discretion and confidentiality.
Business Operations Coordination
- Coordinate business needs across multiple companies, brands, and departments.
- Collect, organize, and summarize information from different teams.
- Help management prioritize projects, deadlines, and operational requests.
- Maintain trackers for ongoing projects, payments, orders, contracts, and business tasks.
- Communicate with internal departments and external partners to ensure smooth execution.
- Support special projects and other operational needs as assigned.
Qualifications
- Bachelor’s degree in Finance, Accounting, Business Administration, Operations, or a related field preferred.
- Previous experience in bookkeeping, finance administration, operations, order management, or executive assistance is preferred.
- Basic understanding of accounting principles, invoices, expenses, accounts payable, and accounts receivable.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple projects, deadlines, and companies at the same time.
- Strong written and verbal communication skills.
- Proficient in Microsoft Excel, Google Sheets, Google Workspace, and Microsoft Office.
- Experience with QuickBooks or other accounting software is a plus.
- Experience with inventory, logistics, purchasing, or supply chain coordination is a plus.
- Ability to work independently, take initiative, and follow through on responsibilities.
- Professional, trustworthy, and comfortable working with confidential information.
- Mandarin and English bilingual ability is strongly preferred.
