At Classical Prep, the Receptionist/Clinic Assistant plays a vital role in maintaining front office efficiency by supporting students, parents, and visitors and providing care for minor injuries and illnesses, all in alignment with the school’s goals and mission.
Overview
- Position: Full-time, 12-month, hourly, non-exempt
- Work Schedule: 7:00 AM – 3:30 PM daily, 234 days
- Benefits: New full-time employees are eligible for insurance coverage beginning the first of the month following 60 days of employment, a 3% match of employee retirement contributions with a two-year vesting period, and 12 days (96 hours) of PTO.

- Pay: $17.00 per hour
- Work hours are subject to change.
Specific tasks required of this role include, but are not limited to, the following:
- Front Office Responsibilities:
- Answer phones and provide assistance by answering questions and accurately routing calls
- Greet each visitor in a welcoming and positive manner and provide assistance to anyone who enters the front office
- Ensure visitors are signed in and out through the Raptor system
- Verify volunteer application status for families and help ensure chaperones are approved prior to field trips
- Maintain a clean and organized workspace in the front office, including the copy room, front office space, and any storage areas
- Assist with troubleshooting copy machine issues and calling for service when needed
- Assist with basic office tasks, including but not limited to copying, filing, and laminating
- Respond to calls on the walkie-talkie from teachers and staff needing assistance
- Enter absences and tardies in MyStudent and run absence reports for administration
- Maintain confidentiality regarding students, parents, and staff
- Greet substitute teachers daily, print sub rosters, and check them in through Raptor.
- Attend & participate in front office/clinic team meetings
- Keep the facilities team abreast of any maintenance concerns
- Listen to voicemails daily and disperse information to the appropriate staff member(s)
- Update medical binders for all sports and school-sponsored after-school programs for K-12
- Create rosters for after-school programs and distribute to staff
- Assist with special projects as needed and assigned by members of the administration and operations
- Print badges for on-campus events (ex. scholar of the month, curriculum days, etc)
- Make daily PA announcements accurately and timely in a clear and concise manner
- Perform additional office duties as assigned by the supervisor and/or administration
- Clinic Responsibilities:
- Assist students with health, hygiene, and other personal needs
- Administer first aid and medications to students in accordance with District policy
- Maintain medical records and daily logs of clinic visits
- Record each student’s medication in the logbook
- Ensure medications are distributed properly and accounted for with field trips
- Attend all trainings for clinic assistants
- Perform clerical duties regarding health services that include organizing, filing, and maintaining health information in a confidential manner, documenting health services provided, maintaining the clinic supply inventory, assisting the Clinic Coordinator with student health record review and follow-up, including but not limited to immunization, physical exams, and emergency cards
- Ensure students who need first aid have immediate care and notify parents if necessary
- Ensure 911 is called if an emergency arises, and notify the student’s parents and administration
- Make referrals to the school nurse, administrators, school staff, and community agencies as appropriate
- Ensure teachers have basic medical supplies in their classrooms
- Enter doctor’s notes from students who have medical restrictions and notify teachers as needed
- Any other tasks in support of school culture and rigor as determined by the office supervisor/administration

Overtime Eligibility
This job is not exempt from the overtime provisions of the Fair Labor Standards Act, therefore eligible for overtime pay.
