Position Overview
We are seeking a high-energy, detail-oriented Office Manager to support our day-to-day operations. In this role, you will serve as a primary point of contact for our customers and keep our daily schedules running smoothly.
The ideal candidate thrives in a fast-paced environment, excels at multitasking, and is comfortable communicating via phone, email, and text. While we run our operations on specialized Customer Relationship Management (CRM) software, full training on our systems will be provided.
Key Responsibilities
- Customer Scheduling: Schedule service and sales appointments directly with customers via phone, email, and our office text line.
- Follow-Ups: Reach out to customers regarding pending estimates, upcoming appointments, and service inquiries.
- Invoicing & Payments: Build sales/service invoices and securely collect credit card payments.
- Records Management: Maintain, organize, and update accurate digital and physical customer records.
- Daily Support: Juggle administrative tasks, assist with daily workflow, and adapt quickly in a dynamic office environment.
Qualifications
- Communication: Excellent verbal and written communication skills with strong, professional phone etiquette.
- Technical Skills: Computer literate with proficiency in Windows and Microsoft Office. Familiarity or experience with CRM software is a major plus!
- Core Strengths: High attention to detail, exceptional organizational skills, and the ability to multitask under pressure.
- Professional Attributes: Reliable, punctual, coachable, and receptive to constructive feedback.
- Experience: Previous administrative or customer service experience is preferred, but not required.
- Requirements: Reliable personal transportation and a dependable schedule.
