We are seeking an organized, detail-oriented, and highly motivated Purchasing & Shipping Assistant to support our construction operations. In this entry-level role, you will be responsible for the administrative day-to-day coordination of our material ordering process and shipping schedules.
No prior construction or technical knowledge is required. You will work directly with our project engineers and managers, who will provide the exact item specifications. Your focus will be on the execution: contacting vendors, tracking down missing items, and ensuring shipments arrive on schedule. Key Responsibilities
- Team Support: Work closely with our project engineers to receive material lists and clarify ordering requirements.
- Order Placement & Sourcing: Contact approved vendors to request pricing, check inventory availability, and place orders. Actively research alternative suppliers if items are out of stock.
- Shipment Tracking: Maintain an updated digital tracking log of all open orders. Follow up regularly with freight forwarders and suppliers to ensure delivery timelines are met.
- Problem Solving: Actively investigate shipping delays or missing items by calling carriers and vendors to resolve issues promptly.
- Document Management: Verify that delivery receipts and vendor invoices match original purchase orders, organizing the paperwork for the accounting team.
Qualifications
- Experience: 0–2 years of experience in an administrative, customer service, retail inventory, or office support role. We are fully willing to train the right person.
- Resourcefulness: A proactive mindset with a willingness to get on the phone, ask questions, and problem-solve when challenges arise.
- Organizational Skills: Excellent attention to detail, with the ability to manage multiple tracking sheets and keep paperwork orderly.
- Communication: Clear, professional verbal and written communication skills for interfacing with both internal teams and external vendors.
- Computer Literacy: Proficient with basic computer applications, including email and spreadsheets (Excel or Google Sheets).
Pay: $11.00 - $12.00 per hour
