This is a full time, temporary position. The primary role of the Accounts Payable Specialist is preparing/processing invoice vouchers for payment and invoice deduction notices, responding to vendor inquiries, ensuring timely resolution to problems, as well as maintaining all payment or other transaction records including vendor/supplier data.
ESSENTIAL JOB FUNCTIONS
To perform this job successfully, an individual must be able to satisfactorily perform each essential function listed below:
- Responsible for the maintenance of an effective control environment under SOX 404 for the accounting operations he or she oversees. This includes both key and non-key controls and extends to the timely updating and modification of control design where necessary and the oversight of control remediation activities should exceptions be encountered in testing
- Reviews incoming invoices and documentation to ensure that information is properly recorded and records contain appropriate authorization for payment.
- Ensures that entered items have correct aliases and are coded according to company procedures.
- Checks figures, postings and documents to ensure that they are correct and mathematically accurate.
- Prepares invoice vouchers for payment and invoice deduction notices as necessary.
- Prepares and generates all accounts payable payments on a weekly basis. Ie: checks, EFT, E-Payables, Quick Checks, etc.
- Sets up new vendors in accounting system and ensures the vendor master file records are kept up to date.
- Identifies and ensures timely resolution of problems; reviews system reports and coordinates follow up as needed.
- Serves as liaison with other departments and vendors to provide timely processing and quality assurance of disbursements.
- Prepares reports at month-end and year-end close as well as specially requested reports for management or internal customers.
- Provides outstanding customer service to internal and external customers.
- Performs other related duties and activities as required.

Education and Experience:
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Two years’ experience in Accounts Payable.

Physical Requirements:
- Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met
