Position Summary
The Scheduling Coordinator plays a critical role in supporting the administrative operations of the academy by managing and coordinating all scheduling operations across the academy. This position works closely with administrative staff, instructors, recruiters, and external partners to ensure schedules are accurate, efficient, and well-communicated. The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple schedules simultaneously in a fast-paced educational environment.
Key Responsibilities
- Coordinate and manage all clinical rotation (ride-along) scheduling, including student placement and communication
- Manage and maintain instructor scheduling, including coverage, changes and conflicts
- Coordinate recruiter schedules, campus visits, and presentations
- Schedule skills verification courses, including instructors, rooms, and logistics
- Manage student book pickup scheduling and related communications
- Serve as the main point of contact for scheduling-related inquiries
- Proactively identify and resolve scheduling conflicts
- Maintain accurate and up-to-date calendars and scheduling records
- Perform other duties as assigned.
Required Qualifications
- Previous experience in scheduling, administrative support, or office coordination or a similar role
- Strong organizational and time-management skills with high attention to detail
- Excellent written and verbal communication and interpersonal skills
- Proficiency with calendars, scheduling systems, and office software (Google Workspace and/or Microsoft Office)
- Ability to multitask and adapt in a fast-paced environment
- Professional, reliable, and customer-service oriented
- Ability to provide solid and positive references from previous employers
Preferred Qualifications
- Experience in education, healthcare, EMS, or clinical scheduling environments
- Experience coordinating multiple stakeholders (students, instructors, external partners)
- Familiarity with clinical rotations, ride-alongs, or internship scheduling
- Experience working in a high-volume or fast-paced organization

Schedule, Pay & Growth
- Employment Type: Full-time
- Typical Hours: Starting at 9:00 a.m., Monday–Friday (occasional flexibility may be needed for events or courses including but not limited to evenings and weekends)
- Compensation: $26–$30 per hour, depending on experience
