Responsibilities
Front Desk & Client Experience
- Greet and welcome visitors in a professional, warm, and friendly manner
- Create a positive, calm, and organized client experience from the moment clients contact or visit the office
- Answer and direct phone calls, take accurate messages, and route calls appropriately
- Manage the main office email inbox and route communications to the correct team members
- Assist clients with basic questions and help direct more detailed requests to the appropriate person
- Respond to client needs with patience, professionalism, and a service-minded attitude
- Help clients feel heard, respected, and cared for, even when their questions or situations are stressful
- Support secure online file delivery and help clients navigate basic document-sharing processes
- Follow up with clients when needed to make sure requests, documents, or next steps are not missed
- Escalate urgent, sensitive, or complex client concerns to the appropriate team member
Administrative, Office & Operations Support
- Provide administrative support to the accounting, tax, and operations teams
- Coordinate and schedule appointments, meetings, and client follow-ups
- Perform general clerical duties, including scanning, mailing, filing, and document organization
- Manage office supplies, kitchen supplies, and general office organization
- Help maintain a clean, organized, and welcoming office environment, including shared spaces, meeting rooms, kitchen areas, supplies, and client-facing areas
- Assist with office systems, phone systems, printers, digital label makers, and other office technology
- Provide general team care and support as needed
- Assist with maintaining internal checklists, templates, workflows, and processes
- Help identify simple ways to improve administrative efficiency, organization, and client experience
- Support the use of tools such as ClickUp, Google Workspace, CRM systems, and other software platforms
Client Workflow & Tax Season Support
- Sort, scan, name, and upload client documents during tax season
- Facilitate internal client workflows and help ensure documents are routed correctly
- Communicate with clients to request and obtain data based on management and team needs
- Track missing client information and follow up as needed
- Help maintain accurate client records and internal notes
- Support the team in meeting deadlines and keeping client work moving forward
- Help reduce client confusion by clearly communicating what is needed, when it is needed, and where to send it
Skills & Qualifications
The ideal candidate will have:

- Warm, professional communication style with clients, visitors, and team members
- Ability to remain calm, patient, and kind when clients are confused, frustrated, or under pressure
- Ability to listen carefully, ask clarifying questions, and make clients feel heard
- Good judgment in knowing when to solve an issue directly and when to escalate it
- Strong communication and written communication skills
- High emotional intelligence and a service-oriented attitude
- Strong organizational skills and attention to detail
- Ability to handle multiple tasks and prioritize effectively
- Strong typing skills with accuracy and speed
- Good proofreading skills to ensure accuracy in documents and communications
- Ability to manage detailed projects, timelines, and follow-up tasks
- Comfort with technology and the ability to learn new software quickly
- Ability to work well with a team, put ego aside, and support the larger mission
- A strong sense of integrity, trustworthiness, and confidentiality
- A desire to complete tasks well and help others succeed
- The ability to strive for excellence while remaining practical and flexible
- A willingness to learn rapidly and take on challenges
Technology Experience
Experience with the following is preferred:
- Microsoft Office Suite
- Google Drive, Gmail, Google Docs, and Google Sheets
- ClickUp or another project management system
- CRM systems or client database tools
- Office technology such as printers, scanners, phones, and digital label makers
Experience with social media, Canva, basic design tools, marketing support, or client communication systems is a plus.
Preferred Experience
Previous experience in one or more of the following areas is a plus:
- Administrative support
- Reception or front desk support
- Customer service
- Client support or client-facing communication
- Accounting, finance, tax, or professional services
- Service-based businesses
- Fast-growing company environments
- Operations, process improvement, or project coordination
