As our Managed Accounts team continues to expand, we are seeking a detail-oriented Investment Operations Specialist to support our operational processes and client service experience.
This position is ideal for an individual who enjoys process-driven work, thrives in a fast-paced environment, and possesses exceptional attention to detail. The primary focus of this role will be cashiering, money movement processing, account maintenance, workflow management, and operational support. Over time, this individual will have opportunities to gain exposure to investment trading operations and additional responsibilities within the Managed Accounts department.
Position Summary
The Investment Operations Specialist is responsible for supporting the day-to-day operations of the Managed Accounts team through accurate processing of client transactions, maintenance of account records, management of advisor service requests, and support of custodial operations.
This role serves as a critical operational resource, ensuring transactions are processed accurately, documentation is complete, and client accounts remain properly maintained while adhering to firm and regulatory requirements.
The ideal candidate is organized, detail-oriented, able to manage multiple priorities, and committed to delivering a high level of accuracy in a deadline-driven environment.
Core Responsibilities
Cashiering & Account Operations
- Process client money movement requests including:
- ACH transfers
- Wire transfers
- Check requests
- Journals
- Required Minimum Distributions (RMDs)
- Roth conversions
- Account funding requests
- Review transactions for accuracy, completeness, and required documentation.
- Coordinate with custodians to ensure timely processing of requests.
- Monitor transaction status and proactively resolve outstanding items.
Workflow & Ticket Management
- Receive and triage service tickets submitted by Financial Advisors and support staff.
- Ensure requests contain appropriate documentation and required information.
- Maintain detailed and accurate notes within workflow systems.
- Update and close tickets with complete audit trails.
- Track service requests and escalate time-sensitive issues when necessary.
Operational Support
- Maintain accurate client and account records across custodial and internal systems.
- Maintain daily operational logs and processing reports.
- Assist with reconciliation activities and exception resolution.
- Support compliance reviews and internal audits.
- Create and maintain standard operating procedures and process documentation.
- Identify opportunities to improve operational efficiency and reduce risk.
Trading Support & Professional Development
- Support trading operations under supervision.
- Assist with implementation of investment models and account rebalancing activities.
- Learn trading workflows, custodial systems, and portfolio management software.
- Participate in cross-training initiatives within the Managed Accounts team.
- Develop the knowledge and skills necessary to support future trading responsibilities.
Required Qualifications
- Bachelor's degree in Finance, Economics, Accounting, Business Administration, or related field preferred.
- 1-3 years of experience in financial services, banking, operations, client service, or administrative support preferred.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office, particularly Excel.
- Strong analytical and problem-solving capabilities.
- Ability to learn new technology platforms and systems quickly.
- Ability to pass all required background checks and regulatory reviews.
Preferred Qualifications
- Experience within a Registered Investment Advisor (RIA), broker-dealer, bank, or wealth management firm.
- Experience processing cashiering or money movement transactions.
- Familiarity with Schwab Advisor Center.
- Familiarity with Orion, Eclipse, Fidelity, TIAA, or similar custodial platforms.
- Experience using CRM and workflow management systems.
- Series 65 license or willingness to obtain within the first year of hire.
- Experience working in a deadline-driven environment where accuracy is critical.
