Job Description
What You’ll Do

Manage complex calendars, meetings, travel, and communications across multiple ventures and time zones

Handle calls and correspondence with professionalism and confidence — you’re representing the CEO’s brand and energy

Serve as the gatekeeper: filter, prioritize, and route information to keep things moving efficiently

Coordinate with internal teams, vendors, and business partners to ensure deliverables are executed on time
-
Manage and track follow-ups, commitments, and strategic tasks — nothing slips through the cracks

Support personal responsibilities: scheduling, errands, and general logistics as directed

Work primarily from the Downtown Orlando office, with flexibility to work from the CEO’s residence occasionally when required

Anticipate needs — from preparing materials to pre-empting scheduling conflicts — and solve problems before they’re problems

Use modern tools to drive productivity and communication, including Slack, Zoom, ChatGPT, Fireflies, GoHighLevel, and Microsoft Outlook

Qualifications

Minimum 3 years of experience as an Executive or Personal Assistant supporting a high-level executive

Proven ability to manage complex schedules, priorities, and workflows

Strong communication skills — verbal and written

Experience using Slack, Zoom, GoHighLevel, ChatGPT, Fireflies, and Microsoft Outlook
-
Reliable transportation and flexibility to support offsite needs when required
-
Availability beyond traditional hours when business demands it — this role supports an executive who doesn’t clock out at 5 PM

PHYSICAL REQUIREMENTS
