Job Summary
We are a growing CPA firm in San Jose specializing in tax preparation, accounting, and real estate services. We are seeking a reliable, customer-focused Tax Accounting Admin Assistant who is fluent in both English and Vietnamese.
The role is primarily client-facing and administrative, with a strong emphasis on delivering excellent customer support. You will handle phone calls, emails, scheduling, and client communications, while also assisting with light tax data entry and basic accounting tasks. Responsibilities
Customer Support & Client Services (Primary Focus – 70-80% of role)
- Answer incoming phone calls professionally in English and Vietnamese, addressing client inquiries, providing status updates, and directing calls as needed.
- Manage and respond to client emails promptly, including document requests, appointment confirmations, and general tax/accounting questions.
- Schedule client appointments, tax consultations, and follow-up meetings using calendar and practice management tools.
- Greet clients in person or virtually and ensure a positive, welcoming experience.
- Maintain client records and ensure timely follow-up on outstanding documents or information.
- Translate or assist with client communications between English and Vietnamese as needed.
Tax & Accounting Support (Light Duties – 20-30% of role)
- Perform light tax data entry into Drake Tax software and other firm systems (e.g., client information, basic forms).
- Assist with basic bookkeeping tasks, payroll processing, and sales tax filings under supervision.
- Organize and prepare client documents for tax returns and accounting services.
- Support the team with scanning, filing, and digital document management.
- Help with routine compliance and administrative tasks related to tax deadlines.
Qualifications & Requirements
- Bilingual fluency: Must speak, read, and write English and Vietnamese fluently (required).
- Experience in administrative support, customer service, or office roles (tax/accounting experience is a plus but not required).
- Strong communication and interpersonal skills; professional phone etiquette.
- Excellent organizational skills and attention to detail.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new software (QuickBooks, etc.).
- Reliable, proactive, and able to handle confidential client information with integrity.
- High school diploma or equivalent required; associate’s degree or higher preferred.
- Must be authorized to work in the United States.
Pay: $20.00 - $30.00 per hour
