SUMMARY
The AR/AP specialist provides support to all departments in the capacity as outlined below.
An Accounts Payable (AP) and AR Specialist is responsible for managing and processing a company's outgoing payments and incoming. Their duties typically include:
- Invoice Processing: Reviewing and verifying invoices, ensuring they match purchase orders and receipts.
- Payment Processing: Ensuring timely and accurate payments to vendors and suppliers, either through checks, electronic transfers, or other methods.
- Record Keeping: Maintaining accurate records of all transactions, payments, and invoices in accounting systems.
- Reconciliation: Reconciling vendor statements and resolving discrepancies between records.
- Reporting: Assisting in preparing financial reports related to accounts payable.
- Communication: Communicating with vendors and internal departments to resolve issues or discrepancies with payments or invoices.
ESSENTIAL JOB FUNCTIONS
Ensures that the work area is kept neat and clean.
Assists all customers/ vendors in a friendly, professional and efficient manner..
Follow directions from supervisors- variety of tasks.
Basic reading, and writing skills required.
Intermediate to advanced knowledge of Microsoft Office Suite and multiline telephone operation. Duties require professional verbal and written communication skills and at a minimum intermediate keyboard skills.
Ability to perform secretarial and administrative support functions requiring independent judgment, information analysis, process evaluation, decision-making, and problem solving.
Ability to work harmoniously with others.
Ability to understand and follow oral and written instructions
Ability to maintain confidentiality
Demonstrated ability to courteously and professionally conduct frequent contact with the public.
Demonstrated understanding of and preference for completing assigned tasks using technology.
Ability to plan, organize, prioritize, and complete assignments in a work setting subject
to frequent interruptions
Ability to become familiar with school policies, laws, rules and regulations
