Medical Secretary – Neurology Practice

Our growing Neurology & Wellness practice in Clearwater is seeking a professional, organized, and patient-focused Medical Secretary to join our team. As the first point of contact for our patients, you will play a vital role in creating a welcoming experience while ensuring the smooth operation of our front office.

Key Responsibilities
Patient Reception & Scheduling
- Greet and welcome patients, visitors, and vendors in a professional and courteous manner.
- Check patients in and out efficiently while maintaining excellent customer service.
- Schedule, reschedule, and confirm patient appointments.
- Coordinate follow-up appointments, referrals, diagnostic testing, and procedures as directed.
- Maintain provider schedules and assist with appointment optimization.
Patient Communication
- Answer incoming telephone calls promptly and professionally.
- Respond to patient inquiries and route messages to the appropriate clinical staff.
- Communicate appointment reminders, testing instructions, and other patient information.
- Monitor and respond to electronic patient messages through the electronic medical record (EMR) system.
Insurance & Registration
- Verify insurance eligibility and benefits prior to appointments.
- Obtain and update patient demographic and insurance information.
- Collect copayments, deductibles, and outstanding balances in accordance with office policies.
- Ensure all required registration and consent forms are completed and accurately documented.
Medical Records & Documentation
- Accurately scan, upload, and index medical records into the EMR.
- Process requests for medical records in compliance with HIPAA regulations.
- Maintain accurate patient records and ensure confidentiality of protected health information.
- Assist with document management, referrals, and incoming correspondence.
Administrative Support
- Maintain an organized and efficient front office environment.
- Coordinate incoming and outgoing mail, faxes, and office correspondence.
- Assist providers and clinical staff with administrative tasks as needed.
- Monitor office supply inventory and communicate ordering needs.
- Perform other clerical duties to support daily office operations.
Qualifications
- High school diploma or GED required; associate degree or medical office certification preferred.
- Minimum of 2 years of experience in a medical office, physician practice, or outpatient healthcare setting.
- Previous experience in a neurology or specialty practice is preferred.
- Proficiency with electronic medical records (Practice Fusion or NextGen) systems and Microsoft Office applications.
- Knowledge of medical terminology and healthcare office procedures.
- Experience with insurance verification, patient scheduling, and medical office workflows.
- Strong organizational, multitasking, and time management skills.
- Excellent verbal and written communication skills.
- Ability to maintain professionalism, discretion, and confidentiality in accordance with HIPAA regulations.
