About the Role
We are looking for a detail-oriented and organized Office Administrator to join our growing team. In this role, you will manage our accounts receivable and accounts payable functions while keeping jobs moving through our CRM platform, AccuLynx. If you are highly organized, comfortable with financial data, and thrive in a fast-paced environment, we want to hear from you.
What You'll Do
Accounts Receivable
- Generate and send customer invoices accurately and on time
- Track outstanding balances and follow up on past-due accounts
- Post and reconcile incoming payments (check, ACH, credit card)
- Respond to customer billing questions and resolve disputes
- Maintain AR aging reports and provide updates to management
Accounts Payable
- Receive, code, and process vendor and subcontractor invoices
- Schedule and process payments by check, ACH, or credit card
- Reconcile vendor statements and resolve billing discrepancies
- Keep vendor files current including W-9s and certificates of insurance
AccuLynx CRM & Job Pipeline
- Enter and maintain job records from lead through project completion
- Move jobs through pipeline stages and keep statuses up to date
- Upload contracts, photos, insurance documents, and related files
- Coordinate with project managers and field crews on job milestones
- Run reports to support production planning and financial tracking
General Office
- Answer phones, respond to emails, and route inquiries appropriately
- Maintain organized digital and physical filing systems
- Support the team with administrative tasks as needed
What We're Looking For
Required:
- 2+ years of experience in accounts receivable, accounts payable, or bookkeeping
- Strong attention to detail and accuracy with financial data
- Excellent organizational and time-management skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Strong written and verbal communication skills
- Ability to work independently and manage multiple priorities
Preferred (but not required):
- Experience with AccuLynx or a similar construction/roofing CRM
- Background in roofing, construction, or home services
- Experience with QuickBooks or similar accounting software
- Familiarity with insurance claims and supplement documentation
Pay: $20.00 - $29.07 per hour
