Part-Time Administrative Assistant
Position Summary
The Part-Time Administrative Assistant provides front office and administrative support to ensure efficient daily operations for the Houston office. This role serves as a welcoming point of contact for employees, visitors, and vendors while supporting office coordination, employee needs, supply management, administrative processes, and general business operations.
The ideal candidate is highly organized, dependable, detail-oriented, comfortable learning new systems and processes, and takes initiative to identify needs and improve office operations. This position also provides an opportunity to grow into additional project support responsibilities over time.
Responsibilities
Front Office & Office Operations
- Provide front office coverage during core business hours, including answering phones, assisting visitors, deliveries and supporting general office communications
- Create a welcoming and professional first impression for employees, clients, visitors, and vendors
- Maintain a professional, organized, and safe office environment, including workspaces, common areas, and shared resources
- Identify office needs proactively and take initiative to improve organization, processes, and overall workplace readiness
Supplies, Equipment & Facilities Support
- Maintain organized inventory systems for office, project, and safety supplies
- Support purchasing documentation and expense tracking activities
- Maintain office equipment readiness and coordinate service needs with IT support and vendors, including basic troubleshooting
- Support property management communications and office safety practices
Employee & Event Support
- Facilitate employee onboarding and offboarding activities
- Support staff meetings, office events, employee activities, and community fundraising initiatives
Qualifications
Required Qualifications
- 1–2+ years of administrative, office support, receptionist, or similar office environment experience
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook and Teams
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and follow through on commitments
- Professional verbal and written communication skills
- Ability to work independently after initial training
- Comfortable learning new systems, processes, and responsibilities
- Demonstrated ability to take initiative and proactively identify needs
- Experience with inventory management, purchasing, expense tracking, or office coordination
- Basic office technology troubleshooting experience
Preferred Qualifications
- Project administration or project support experience
- Experience preparing meeting minutes, tracking action items, or maintaining project documentation
- Experience supporting a professional services, engineering, construction, or technical environment
Pay: $17.00 - $23.00 per hour
