Responsibilities
- Manage data entry and maintain accurate financial records using QuickBooks and other accounting software.
- Handle front desk duties, greeting visitors and clients with professionalism and warmth.
- Operate phone systems, answer inquiries, and direct calls with excellent phone etiquette.
- Support office management tasks such as filing, proofreading documents, and organizing files efficiently.
- Enter all A/P, A/R to proper G/L accounts, COGS accounts, Job and Department.
- Enter payroll data with accuracy and file payroll taxes.
- Reconcile all bank statements and credit card accounts.
- Provide exceptional customer service by responding promptly to client questions via phone or email.
- Coordinate calendar management, schedule appointments, and support personal assistant tasks as needed.
- Maintain office supplies inventory and ensure the workspace remains organized and welcoming.
- Utilize Google Workspace and Microsoft Office tools to prepare reports, correspondence, and presentations.
Skills
- Proven experience with QuickBooks accounting software and general bookkeeping practices.
- Strong office management skills combined with clerical experience in busy environments.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Box, Pipe Drive and Google Workspace applications.
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Demonstrated customer service skills coupled with professional phone etiquette.
- Accurate typing speed along with attention to detail for data entry, proofreading, and filing tasks.
- Strong time management skills to handle multiple responsibilities efficiently while maintaining quality standards. Pay: $45,000.00 - $60,000.00 per year
