What You'll Do
As our Administrative Assistant, you'll help keep the office running efficiently by:
- Prepare, scan, organize, and maintain legal documents, client files, and portfolios while ensuring information is accurately saved and readily accessible.
- Manage incoming and outgoing mail, coordinate document deliveries, prepare client welcome materials, and assist with follow-up communications for prospective clients.
- Create a warm and welcoming client experience by maintaining refreshments, beverages, and the overall appearance of the reception area.
- Ensure the workroom remains organized, fully stocked, and prepared to support the needs of attorneys and staff.
- Maintain conference rooms ensuring that they are clean and stocked ready for the next appointment.
- Assist in the deed recording process by preparing recording packets and submitting documents to the appropriate county Register of Deeds, tracking recording status, and ensuring recorded documents are properly saved and returned to the client file.
- Assist with the preparation and coordination of team meetings, lunches, firm events, holiday decorating, and other office projects.
- Run errands for the firm.
- Provide backup support for reception by greeting clients, answering phones, and assisting with front desk responsibilities as needed.
- Provide administrative support to attorneys and staff through special projects, coordination, and day-to-day office operations.
- Proactively identify and address organizational needs to help keep office operations running efficiently and support the success of the team.
- Contribute to an exceptional client experience by consistently delivering the high level of service Legacy Law Firm is known for.

Qualifications
- Previous administrative, office, customer service, or legal experience is preferred.
- Communicate professionally and clearly with clients, team members, and outside professionals.
- Maintain professionalism and composure during busy workdays and frequent interruptions.
- Be proficient in Microsoft Outlook, Word, Excel, Adobe, Zoom, and the ability to quickly learn new software systems.
- Be comfortable learning and using office technology and CRM systems.
- Handle confidential client information with discretion and professionalism.
- Ability to occasionally lift up to 30 pounds and perform routine office tasks.
Schedule
Full-time, Monday–Thursday 8am-5pm and Friday 8am-1pm. This is an in-office position.
