Position Title: Administrative Assistant
Employment Status: Part-Time - 25 Hours Per Week
Reports To: City Manager
POSITION SUMMARY
The Administrative Assistant provides customer service, clerical, and administrative support for the daily operations of City Hall. This position serves as a primary point of contact for residents and visitors and assists with office administration, communications, records management, payment processing, and general support functions.
The Administrative Assistant works closely with the City Manager to help ensure efficient and professional City Hall operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Customer Service & Administrative Support
- Answer and direct incoming telephone calls.
- Greet and assist residents, visitors, contractors, and business owners visiting City Hall.
- Provide excellent customer service and respond to routine inquiries.
- Assist with filing, scanning, copying, data entry, and maintaining organized records.
- Maintain office files, databases, and administrative records.
- Assist the City Manager with administrative projects and daily office operations.
- Maintain office calendars and schedules.
- Prepare correspondence, forms, and other administrative documents.
Communications & Community Engagement
- Assist with maintaining the City's social media accounts and website.
- Prepare newsletters, community announcements, flyers, and other communication materials.
- Assist with promoting City events and community activities.
Financial & Office Support
- Receive and process payments.
- Prepare receipts and maintain related records.
- Order office supplies and maintain inventory of office materials.
- Assist with routine office administration and recordkeeping.
General Responsibilities
- Perform general clerical and administrative duties as assigned.
- Support efficient and professional City Hall operations.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent required.
- Previous administrative, clerical, customer service, or office support experience preferred.
- Proficiency in Microsoft Office applications and standard office equipment.
- Experience with social media platforms, newsletters, and office communications preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to interact professionally and courteously with the public.
- Ability to manage multiple tasks while maintaining accuracy and attention to detail.
- Municipal government experience is preferred but not required.
WORKING CONDITIONS
This position is primarily office-based and involves frequent interaction with residents, visitors, City staff, contractors, and elected officials.
The position may require occasional attendance at evening meetings, community events, or other activities outside normal office hours.
Deadlines, public interaction, accuracy, and timely completion of work are regular requirements of this position.
PHYSICAL REQUIREMENTS
- Ability to sit, stand, walk, bend, and operate standard office equipment for extended periods.
- Ability to lift and carry files, office supplies, and related materials weighing up to 25 pounds utilizing proper safety procedures.
