Key Responsibilities:
- Provide clinical support to both providers during office hours and scheduled procedures.
- Prepare examination and treatment rooms before patient appointments.
- Perform patient intake, including vital signs, medication reconciliation, allergy review, and updating medical histories.
- Assist providers during examinations, treatments, injections, and office-based procedures.
- Support preoperative appointments, including documentation, patient education, clearance coordination, and preparation of provider orders.
- Support postoperative appointments, including patient intake, wound or incision preparation, photography, documentation, and reinforcement of provider-directed instructions.
- Initiate and monitor IV therapy in accordance with provider orders, practice protocols, training, and applicable scope-of-practice requirements.
- Assist with medspa treatment workflows, including patient preparation, photography, consent verification, room setup, procedure assistance, aftercare instructions, and room turnover.
- Document patient care and communications accurately in the electronic medical record.
- Respond to patient questions and clinical messages using established protocols and provider direction.
- Coordinate laboratory results, medical clearances, prescriptions, referrals, and follow-up appointments as assigned.
- Maintain clinical supplies, medication inventory, emergency equipment, and treatment-room readiness.
- Follow infection-prevention, medication-safety, patient-privacy, and documentation standards.
- Provide consistent clinical coverage and workflow support for both providers.
- Perform other outpatient clinical and administrative support duties necessary for efficient patient care.
- Complete timely room turnover between patients, including cleaning, disinfecting, restocking, and resetting exam, treatment, and procedure rooms in accordance with practice protocols.
Clinical & Administrative Assistance:
- Use EHR systems (PatientNOW & TouchMD) for accurate documentation
- Schedule post-op and follow-up visits
- Ensure HIPAA-compliant patient paperwork
- Coordinate paperwork with surgical facilities
- Assist with blood draws for procedures (e.g., PRP/PRF)
- Sterilize instruments and maintain clinical standards
Office & Facility Support:
- Maintain cleanliness and organization of exam rooms, bathrooms, and common areas
- Manage inventory of medical supplies and equipment
- Restock, launder towels/robes, and keep the clinic welcoming
- Confirm upcoming appointments and communicate with patients via text/email/phone
Additional Duties:
- Conduct follow-up calls to assess recovery
- Support billing entries and rewards program management (Alle, Aspire, Evolus)
- Monitor and respond to communication channels promptly
Important Role Expectations:
This position:
- Requires an active Registered Nurse license because certain assigned responsibilities involve licensed clinical skills.
- Is primarily a provider-assistance and outpatient clinical workflow role rather than a traditional staff nursing assignment.
- Includes both licensed clinical responsibilities and routine support duties, such as room preparation, patient intake, documentation, supply management, patient coordination, and room turnover.
- Primarily supports preoperative and postoperative office visits, IV therapy, medspa procedures, and general provider workflows.
- May occasionally include assisting with certain functions related to the operating room environment or surgical process, based on practice needs, training, competency, and scope of practice.
- Does not primarily function as an OR, circulating, scrub, or PACU nursing position.
- Requires the ability to support two providers and adjust priorities throughout the day.
- Requires working under provider direction and within the employee’s education, training, demonstrated competency, licensure, and applicable practice policies.
- Room preparation and turnover are routine and essential responsibilities of this position. The employee is expected to help maintain clean, organized, fully stocked, and patient-ready clinical spaces throughout the day.
- Familiarity with cosmetic/aesthetic procedures and post-op care
- Inventory management experience in a medical office
Required Qualifications
- Current, unrestricted Registered Nurse license in the state of practice.
- Current BLS certification.
- Proficiency with IV insertion and IV therapy, or willingness to complete required competency training.
- Strong clinical documentation and electronic medical record skills.
- Excellent organization, communication, follow-through, and attention to detail.
- Ability to work collaboratively with two providers and the broader practice team.
- Comfort performing a combination of licensed clinical duties, procedure support, patient coordination, and routine clinical-assistant responsibilities.

Preferred Qualifications
- Previous experience in plastic surgery, dermatology, aesthetics, medspa, ambulatory care, women’s health, or another procedure-based outpatient setting.
- Experience with preoperative and postoperative patient workflows.
- Experience assisting with office-based procedures.
- Experience with IV therapy.
- Familiarity with clinical photography, patient consents, and cosmetic-treatment documentation.
Compensation is based on experience. Monthly Medspa bonus structure available after 90 days of full-time employment.
