Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Assist with calendar management and scheduling appointments for staff and executives
- Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial record keeping
- Provide exceptional customer service by responding promptly to inquiries via phone, email, or in person
- Proofread correspondence, reports, and other documents to ensure clarity and accuracy
- Coordinate office supplies procurement and manage inventory levels to keep the office well-stocked
- Support office management tasks such as organizing meetings, preparing agendas, and taking minutes
Experience
- Previous office experience or administrative support roles demonstrating strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with QuickBooks or other bookkeeping software preferred
- Excellent typing speed and computer literacy with technical proficiency in office productivity tools
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are a plus for communicating with diverse clients and team members
- Prior experience as a receptionist or personal assistant is advantageous
- Knowledge of clerical procedures including filing, proofreading, and data entry
- Demonstrated customer service skills with professional phone etiquette and front desk experience
