Hourly Rate: $19.65 - Commensurate (dependent on experience, education, and qualifications)

The Project Support Specialist I provides technical, administrative, and documentation support across multiple projects within the Transmission and Distribution department. This role is responsible for creating and maintaining project logs, preparing and monitoring reports, drafting correspondence and project documents, and coordinating with project team members to develop and track goals and objectives. In addition to project support, this role serves in an office management and administrative capacity for the T&D leadership team, supporting meeting coordination, calendar management, travel arrangements, visitor management, onboarding assistance, and general facilities and office operations.
Develop/document/maintain/disseminate standards, best practices, lessons learned and Standard Operating Procedures
Prepare support documentation, training materials, templates, checklists, naming and other standards
Provide technical assistance with the upload/download of data for Ampirical staff, clients, and 3rd parties
Assure SharePoint has the latest version of documents and that the links to maps work/do not break
Knowledge of and ability to take advantage of O365/SharePoint capabilities to manage project documents and help the exchange and collaboration with the client
Assist T&D Engineering as needed for document management needs
Facilitate/attend meetings as needed to capture meeting minutes and action items
Implement electronic document processing, retrieval, and distribution systems in collaboration with Project Support members/Engineering
Assist with scheduling meetings, site visits, and project milestones using shared calendars and basic tools in accordance with established project plans
Coordinate small-team logistics including room bookings and virtual meeting links under the guidance of project leadership
Update task trackers and project boards to accurately reflect approved changes such as status updates and deadlines
Draft routine client-facing emails, reminders, and meeting summaries as directed using approved templates, ensuring accuracy, clarity, and professional tone
Respond to basic inquiries from clients and team members with professionalism and clarity
Share meeting invites, ensure all relevant stakeholders are included and informed, and follow up with internal teams to request missing documentation
Run basic status reports from project management systems and distribute to teams
Prepare onboarding materials such as welcome packets, access guides, and team introductions
Schedule training sessions for new hires and track attendance and completion
Share team resources, FAQs, and process documentation to help new members acclimate and understand role expectations
Set up and maintain vendor accounts such as food delivery and catering platforms as directed, ensuring accurate account information and accessibility for the team
Assist with the physical setup and breakdown of meetings, Lunch and Learns, and team events, ensuring spaces are prepared and returned to order following event
Check and distribute incoming mail and packages, coordinate deliveries, and make trips to shipping carriers as needed
Assist with recording training sessions and uploading recordings to the designated training library as directed
Assist with processing payments for vendors and events as directed, submitting receipts and coding transactions to the appropriate team member for approval
High School Diploma or GED
2 Year Degree (Associates) in Business, Project Management, or a related field is preferred, but not required
Strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite including Excel, Word, Outlook, and Teams
Familiarity with SharePoint or similar document management platforms
Excellent written and verbal communication skills
Ability to follow established procedures and workflows accurately and consistently
Associate's degree in Business, Project Management, or a related field is preferred
Exposure to project coordination or administrative support roles is preferred
Familiarity with project management tools or task tracking systems is preferred
Certified Records Manager (CRM) or Certified Records Analyst (CRA) Certification (preferred).
The ability to prioritize, multi-task, and work effectively and efficiently independently or with minimal supervision.
Strong written, oral, interpersonal, group and telephone communication skills.
