Duties
- Manage and coordinate complex calendars for executives, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Docusign.
- Provide comprehensive administrative support such as typing, proofreading, transcription, data entry, filing, and handling confidential information with discretion.
- Organize and plan events, meetings, and internal functions to foster collaboration across teams and with C-suite executives.
- Oversee office management tasks including supply procurement, facility maintenance coordination, and managing multi-line phone systems to ensure an efficient work environment.
- Facilitate internal communication by preparing reports, memos, and correspondence; utilize productivity software like Microsoft Office for document creation and presentation.
- Coordinate project activities by tracking deadlines, assisting with project management tools, and supporting team collaboration efforts.
- Handle customer service inquiries professionally via phone or video conferencing software while maintaining excellent phone etiquette.
Skills
- Proven experience as a Personal Assistant or Office Manager with strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), productivity software, and video conferencing platforms.
- Skilled in event planning, project coordination, bookkeeping using QuickBooks or similar software, and data entry.
- Excellent written and verbal communication skills; capable of proofreading and creating clear documentation.
- Ability to manage multiple priorities efficiently while maintaining professionalism under pressure.
- Experience working with C-suite executives or senior management; adept at handling confidential information discreetly.
- Strong technical proficiency in office equipment management including multi-line phone systems and internal communication tools.
