Guadalupe Regional Middle School in Brownsville, Texas, is seeking a Part-Time Bookkeeper to begin as soon as possible.
Guadalupe Regional Middle School provides an all-scholarship, quality Catholic education to boys and girls in grades six, seven, and eight whose families desire but cannot afford a Catholic education. This academically challenging school teaches its students how to live the gospel values of love, justice, self-discipline and respect for others with the goal that they become the future leaders of the Brownsville civic and church communities.
Position Summary
Guadalupe Regional Middle School is seeking a detail-oriented and trustworthy Part-Time Bookkeeper to support the financial operations of the school. The Bookkeeper will be responsible for maintaining accurate financial records, processing payroll, reconciling accounts, managing payroll-related filings, and preparing financial reports. While the ideal candidate would have experience with Shelby accounting software, we are willing to provide training for the right individual. Candidates should also possess a strong understanding of nonprofit and/or school accounting practices.
The Bookkeeper works closely with the President/Head of School and external accounting partners to ensure timely and accurate financial management in support of the school’s mission.
Essential ResponsibilitiesFinancial Recordkeeping
- Maintain accurate and organized financial records.
- Process accounts payable and accounts receivable transactions.
- Record deposits, invoices, reimbursements, and journal entries.
- Ensure proper coding and documentation of all financial transactions.
- Ensures school follows diocesan policies and procedures and are complying with all local, state, and federal regulations.
- Maintains accurate financial records, posts receipts and expenditures to proper accounts and prepare financial reports
- Prepares consolidated internal and external financial statements (balance sheets, income statements, profit/loss statements) in accordance with GAAP by gathering and analyzing information from the general ledger.
- Accounts for all school revenue including deposits, donations, fundraising, etc.
- Reconciles account with bank statements.
- Prepares financial budget and reports for approval.
- Monitors budget to actual performance, keeping the President informed of the school’s financial position.
- Works within the approved budgets, develops and implements cost saving measures, conserves organizational resources.
- Processes online giving (credit card, ACH, etc.) records and deposits.
- Assists with month-end and year-end closings and reconciliation of balance sheet accounts.
Payroll & Benefits Administration
- Process payroll accurately and on schedule.
- Maintain payroll records and employee compensation documentation.
- Process payroll tax payments and related reporting requirements.
- Manage Workers’ Compensation payments and documentation.
- Coordinate and process employee 403(b) retirement contributions.
- Assist with payroll-related reporting and employee inquiries as needed.
- Assists with new hires, onboarding paperwork, new employee orientation, maintaining. personnel files, legal compliance, execution of personnel policies and procedures.
- Complete Worker’s Compensation First Report of Injury and Employee Injury/Accident Report.
- Prepares, computes, files, and pays local, state and federal taxes.
- Ensures all tax reports (941s, w-2s, 1099s) are filed in a timely manner.
Bank Reconciliation & Financial Reporting
- Reconcile monthly bank statements and financial accounts.
- Identify and resolve discrepancies in a timely manner.
- Prepare and generate monthly financial reports including:
- Profit & Loss Statements
- Balance Sheets
- Budget reports and financial summaries as requested
- Assist leadership with financial tracking and reporting needs.
Accounting Software & Compliance
- Utilize Shelby accounting software for financial management and reporting.
- Maintain confidentiality of all financial and personnel information.
- Support annual audits and financial reviews by preparing requested documentation.
- Ensure compliance with school financial policies and procedures.
Administrative Support
- Collaborate with school leadership regarding financial planning and budgeting.
- Participate in weekly on-campus meetings or visits as needed.
- Support the mission and values of Guadalupe Regional Middle School.
Qualifications
- Experience in bookkeeping, accounting, or financial administration required.
- Experience processing payroll, payroll taxes, and employee benefits required.
- Knowledge of Workers’ Compensation and retirement contribution processing preferred.
- Strong knowledge of bank reconciliations and financial reporting.
- Proficiency in Microsoft Excel and general office software.
- High level of accuracy, organization, and attention to detail.
- Ability to maintain confidentiality and work independently.
- Experience in a nonprofit, church, or school setting preferred.

This part-time position pays $12.75- $ 15.00 per hour, based on experience. This is a 12-month position with 8-10 hours of work expected weekly. This schedule will likely consist of either one full day on campus or two half days, to be determined upon hiring. This position is ideal for someone who is already employed full-time or has another part-time position and is looking to supplement their income with a flexible schedule.
