The First Cost Character Team Account Coordinator provides administrative and operational support for licensed product programs for key retail accounts. This role assists with maintaining product information, processing account documentation, coordinating samples, updating retailer systems, and supporting communication between internal teams, overseas partners, and customers.
The ideal candidate is highly organized, detail-oriented, and eager to learn. Success in this role requires the ability to manage multiple tasks, maintain accurate records, and provide timely support throughout the product development and order management process. Training will be provided on company systems, retailer portals, and account-specific processes.
Responsibilities consist of but not limited to:
- Work with Sales and Pricing Team to track supplier quotes, purchase orders, forecasts, and final order quantities
- Assist with supplier quote reviews for completeness prior to submission.
- Enter and maintain costing information in internal systems.
- Process seasonal orders and maintain supporting documentation.
- Serve as communication liaison between internal teams, overseas partners, and end retailers.
- Assist with product setup and maintenance across customer systems
- Enter and update marketing copy into required systems as provided by internal team members.
- Update and track customer quality rankings and share results with key parties to ensure 90% standard is met and maintained.
- Coordinate image requests, product photography, and image uploads, assisting with digital marketing campaigns.
- Coordinate product sample requests and shipments.
- Track sample status, buyer selections, and ensure key delivery and approval dates are met.
- Follow up with cross-functional teams to help ensure deadlines are met.
- Prepare routine reports and maintain organized electronic records
- Coordinate and update access to customer systems is available to all as needed
- Assist with process improvements and additional projects as assigned.
Qualifications
- Associate's degree or Bachelor's degree preferred, or equivalent work experience.
- 0–2 years of administrative, retail, merchandising, customer service, or office support experience.
- Strong organizational skills and exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Comfortable learning new computer systems and software applications.
- Proficiency in Microsoft Excel, Outlook, and Word.
- Positive attitude, strong work ethic, and willingness to learn.
- Experience with product information, ERP, licensing, or retailer systems is a plus but not required.
This position requires 2 days in office in our Plantation location.
