Job Title: Treatment Coordinator/ Front Desk Lead

Job Type: Part‑Time to Full‑Time (25–35 hours/week to start)
About Our Practice
We are a privately owned biomimetic dental practice in Dana Point focused on helping adults keep their teeth for life and avoid major future problems. We do careful, conservative dentistry, not just “drill and bill.” Patients come to us because they want long‑term solutions, not quick fixes.
We’re looking for a warm, organized, phone‑confident Treatment Coordinator to own our new patient calls, follow‑up, and scheduling.
Role Summary
Your #1 goal:
Turn inbound leads and interested patients into scheduled and kept appointments by following a simple, proven follow‑up process.
You will be the first voice new patients hear, helping them feel understood, explaining next steps, and getting them on the schedule.
What You’ll Do
- Respond quickly to new patient inquiries (phone, web, voicemail) during office hours
- Call, text, and follow up with leads using a structured 7‑day cadence until they schedule or decline
- Schedule new patient visits and coordinate with the doctor to fill high‑value time slots
- Reactivate past patients and unscheduled treatment with friendly check‑in calls
- Confirm upcoming appointments and reduce no‑shows with reminder calls/texts
- Document all outreach and update patient records accurately in our systems
- Provide an exceptional, caring experience on every interaction
- Protect patient privacy and follow all HIPAA and office policies
What We’re Looking For
- 1+ year in a dental front office, treatment coordinator, medical front office, or phone‑heavy customer service role
- Comfortable spending several hours a day on the phone and computer
- Confident, clear communicator who can guide patients to a decision without being pushy
- Organized, reliable, and able to follow a set process every day
- Warm, calm, and professional with anxious or skeptical patients
- Experience with dental software (Dentrix, Eaglesoft, etc.) is a plus but not required
- Bilingual (English/Spanish) is a plus
Schedule & Pay
- Schedule: 25–35 hours/week to start, weekdays in‑office (exact schedule flexible)
- Compensation:
- Base hourly: $26-30/hour, depending on experience
- Performance bonus per new patient who shows to their first visit, plus additional bonuses tied to started treatment
- Room to grow hours and earnings as the role drives more kept appointments
