Administrative Assistant
Lakeside Real Estate Services | Full-Time
About the Role
Lakeside Real Estate Services is seeking an organized, dependable team member who enjoys helping people, is comfortable with computers, and juggling details. This role combines prospect communication, resident onboarding, and administrative support—you'll be a prospect's first point of contact, coordinating tours, following up, and guiding applicants through leasing and onboarding. Once onboarding is complete, the relationship transitions to the Property Manager (no ongoing property-management duties). As part of a small team, you'll also help with administrative and office tasks that keep things running smoothly.
Key Responsibilities
Property Management Support
- Respond promptly and professionally to prospects by phone, text, and email—answering questions about properties, requirements, and the leasing process.
- Schedule self-guided tours, follow up before and after, and help prospects find the right fit.
- Guide applicants through application, lease-signing, and onboarding, confirming all paperwork, signatures, and payments are complete.
- Log accurate notes in the lead-management software and hand off cleanly to the Property Manager.
- Assist with renewal paperwork, follow-up, and resident communications, tracking renewal/retention info.
- Support resident events and community initiatives as needed.
Administrative Support
- Handle data entry, files, correspondence, forms, spreadsheets, and reports.
- Assist with property listings and scheduling.
- Track leasing activity, applications, renewals, retention, and rent increases.
- Complete recurring and one-time projects from management.
Office Support
- Maintain a dependable presence during scheduled hours.
- Greet visitors, receive mail and deliveries, and keep common supplies stocked.
- Reset the conference room, refill printer paper, and report supply or equipment needs.
- Help with small shared tasks like coffee and the dishwasher.
What We Are Looking For
- Highly organized, detail-oriented, and reliable at juggling many small tasks and follow-ups.
- Friendly, responsive, and professional across phone, text, email, and in person.
- Strong computer skills and quick to learn new software.
- Dependable, punctual, and consistently present in the office.
- Self-directed, discreet with confidential information, and a positive team player.
- Previous administrative, customer service, leasing, or property management experience is a plus but not required—we're glad to train someone with strong organization, professionalism, and a dependable work ethic.
