Position: Executive Personal Assistant & Estate Manager
The Executive Personal Assistant & Estate Manager is responsible for overseeing the day-to-day management of a private residence while providing comprehensive personal and business support to a busy executive. This highly trusted position requires exceptional organizational skills, discretion, attention to detail, and the ability to anticipate needs before they arise. The ideal candidate is proactive, resourceful, and comfortable balancing household operations with executive administrative responsibilities.
Responsibilities
Household & Estate Management
- Maintain the cleanliness, organization, and presentation of a high-end residence.
- Perform light housekeeping, laundry, ironing, and wardrobe organization.
- Coordinate deep cleaning, maintenance, repairs, and service appointments.
- Manage household inventories and purchase groceries, supplies, and personal items.
- Organize closets, storage areas, pantry, and household systems.
- Coordinate vendors, contractors, deliveries, and home improvement projects.
- Care for valuable furnishings, artwork, and personal belongings with exceptional attention to detail.
Executive & Personal Support
- Manage personal and business calendars, appointments, and scheduling.
- Coordinate travel arrangements, itineraries, and accommodations.
- Handle confidential correspondence, emails, and phone calls.
- Prepare reports, presentations, and business documents as requested.
- Assist with bill payments, expense tracking, and maintaining organized records.
- Run personal and business errands efficiently.
- Assist with special projects and other duties as assigned.
Business Support
- Maintain organized files and documents.
- Coordinate meetings and appointments with vendors and business contacts.
- Assist with administrative projects and follow-up on tasks.
- Manage office and household supplies.
- Support day-to-day operational needs as directed by the executive.
Qualifications
- Minimum 5 years of experience as an Executive Assistant, Estate Manager, Household Manager, or similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficiency with Microsoft Office, Outlook, and Google Workspace.
- Valid driver's license with reliable transportation.
- Ability to lift up to 30 pounds and perform household tasks.
