Hybrid Executive Assistant to Senior Vice President of Land
Location: Midland, TX
Schedule: Full-Time, Monday–Friday, 8:00 AM–5:00 PM
Work Arrangement: Hybrid schedule (3 days onsite, 2 days remote)
Pay Range: $36.00–$40.00 per hour, based on experience, education, certifications, and relevant qualifications.
About the Opportunity
We are seeking an experienced Executive Assistant to provide high-level administrative support to a Senior Vice President and executive leadership team. This role is ideal for a highly organized, detail-oriented professional who excels in a fast-paced environment and enjoys supporting senior leaders through exceptional coordination, communication, and operational support.
The successful candidate will serve as a trusted partner to executive leadership, managing complex schedules, coordinating meetings and travel, preparing confidential communications, and ensuring administrative priorities are handled with accuracy and professionalism.

Key Responsibilities
- Provide executive-level administrative support to the Senior Vice President and leadership team.
- Manage complex calendars, including scheduling meetings, conference calls, leadership meetings, and executive priorities.
- Coordinate detailed domestic and international travel arrangements, including itineraries and logistics.
- Prepare and process travel reimbursements and expense documentation using company systems.
- Plan and coordinate executive meetings, leadership retreats, offsite events, and department activities.
- Prepare meeting agendas, document meeting minutes, and track follow-up actions to completion.
- Draft, proofread, edit, and revise professional correspondence, reports, presentations, contracts, memorandums, and other executive documents.
- Organize, maintain, and manage confidential records and documentation.
- Gather, analyze, and compile information for reports, presentations, and executive decision-making.
- Maintain strong working relationships with executive leadership, internal teams, external partners, and administrative professionals.
- Communicate professionally with executives, board members, industry contacts, and other stakeholders on behalf of leadership.
- Initiate communication internally and externally to obtain information, provide updates, and coordinate business needs.
- Support office activities, team events, and administrative initiatives as needed.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
Required Qualifications
- Bachelor’s degree and 4+ years of administrative experience; OR
- Associate degree and 6+ years of administrative experience; OR
- High school diploma/GED and 8+ years of progressive administrative experience.
- Experience supporting executives, senior leaders, or high-level management.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong attention to detail and problem-solving abilities.
- Proficiency with Microsoft Office Suite, including:
- Microsoft Outlook
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
Preferred Qualifications
- Previous experience supporting C-suite executives, Vice Presidents, or senior leadership teams.
- Experience managing complex calendars and executive travel.
- Strong skills in preparing professional correspondence, reports, presentations, and meeting documentation.
- Experience coordinating executive meetings, retreats, and business events.

Work Environment
This position is performed in a professional office environment with a hybrid schedule. The role requires regular use of a computer and standard office equipment while managing executive priorities, communications, and administrative responsibilities.
