Position Summary
We are seeking an experienced and highly organized Senior Logistics Coordinator to work alongside our Logistics Manager and support our Project Management team with the day-to-day execution of international shipments.
This position requires an individual who is extremely detail-oriented, proactive, highly responsible, and capable of managing multiple projects simultaneously. The ideal candidate understands international shipping, ocean freight, customs documentation, and enjoys working in a fast-paced project environment where every shipment matters.
This role serves as the communication hub between our U.S. office, project managers, factories in China and Vietnam, freight forwarders, customs brokers, trucking companies, and hospitality clients.
Key Responsibilities
- Coordinate daily international shipments from China and Vietnam to North America.
- Work closely with Project Managers to ensure project shipping schedules are met.
- Coordinate directly with factories regarding production completion, container loading, and shipping schedules.
- Communicate with freight forwarders, customs brokers, trucking companies, and warehouses.
- Prepare and review all shipping documentation, including:
- Commercial Invoices
- Packing Lists
- Bills of Lading
- Container Loading Lists
- Certificates of Origin
- ISF documentation
- Customs documentation
- Monitor vessel schedules, container movements, and estimated arrival dates.
- Update internal shipment tracking reports and communicate status to the project team.
- Coordinate delivery appointments and final-mile logistics.
- Resolve shipment delays, customs issues, documentation discrepancies, and transportation problems.
- Work with overseas teams to ensure shipping documents are complete and accurate before cargo departs.
- Assist with freight quotations and transportation cost comparisons.
- Maintain accurate shipping records and project logistics files.
- Support continuous improvement of logistics procedures and workflow.
- Provide outstanding customer service to both internal teams and external clients.
Qualifications
Required
- Minimum 5 years of international logistics experience
- Experience coordinating ocean freight imports from Asia
- Strong understanding of:
- Ocean Freight
- Import Documentation
- Customs Clearance
- Container Shipping
- International Commercial Terms (Incoterms)
- Freight Forwarders
- Excellent organizational skills
- Strong attention to detail
- Ability to prioritize multiple projects simultaneously
- Excellent written and verbal communication skills
- Highly dependable and accountable
- Strong problem-solving ability
- Proficient in Microsoft Excel, Outlook, Word, and Teams
- Experience working with ERP systems or logistics software
Preferred
- Experience in hospitality FF&E
- Experience importing furniture
- Experience working with manufacturers in China and Vietnam
- Knowledge of U.S. Customs procedures
- Knowledge of tariffs, duties, anti-dumping, and HTS classifications
- Microsoft Dynamics experience
- Bachelor's degree in Supply Chain, Business, Logistics, or related field
