Role Overview
The Sales Assistant is the operational engine of EB Denim’s wholesale business, owning the day-to-day execution layer that keeps orders, inventory, and retail partners moving. This role sits at the center of wholesale operations: order management, retailer compliance, reporting, and account support; ensuring seamless communication and brand consistency across every account we sell.
You will own PO execution from entry through close-out, maintain the reporting that drives our selling conversations, and support our accounts in the field. Your work will directly impact shipped POs, on-time launches, sell-through, and the strength of our wholesale partnerships.
Key Responsibilities
Order Management, Retailer Compliance & Inventory Flow
- Own end-to-end PO management across wholesale accounts: entry, confirmation, tracking, and close-out.
- Ensure operations is reviewing EDIs are received before start ship.
- Prepare and submit all retailer-required assets (UPCs, EANs, imagery, product data).
- Maintain a live PO/ Reorder compliance tracker and flag risks proactively.
- Own retailer vendor portals and order platforms end to end (NuOrder, Full Circle, and account-specific vendor sites).
- Track chargebacks with finance and operations and compliance violations, identify root cause, and recap for management review and escalation.
- Partner cross-functionally with production, planning, and warehouse to ensure inventory availability against confirmed orders, including allocation and stock prioritization across accounts.
Wholesale Account Support & Field Execution
- Conduct regular in-person visits to wholesale accounts, department stores, and retail partners, at a minimum of once per week.
- Support account merchandising, visual presentation, and inventory organization to ensure brand standards are maintained.
- Assist with product knowledge trainings, sales associate education, and selling support on the floor at partner doors as needed.
- Build and maintain strong working relationships with store teams and account partners.
- Communicate field observations, opportunities, competitive insights, and customer feedback to leadership.
Reporting & Business Insights
- Review and analyze with Head of Wholesale Sales the wholesale partner sales dashboard and reporting.
- Own the weekly ATS, Reorder, Order, and RTV Logs and recap.
- Track sell-through, weeks of supply, reorders, and product performance across accounts.
- Identify trends and flag reorder, markdown, and lost-sales risks across accounts and doors.
- Prepare selling recaps, reorder recommendations, and line sheets for market appointments and account meetings.
Cross-Functional Coordination
- Act as a central point of coordination between wholesale, production, warehouse, and finance.
- Ensure timely responses on reorders, account requests, and cross-functional needs.
PR & Samples
- Coordinate PR pulls and sample logistics end to end for sales and marketing.
- Manage the sample closet and ensure availability for market appointments, PR, and account needs.
Credit, AR & Vendor Coordination
- Assist in review and resolution of discrepancies, deductions, and short pays across wholesale accounts.
What You Bring
- 1–3 years of experience in wholesale operations, sales support, or merchandising within apparel or accessories
- Advanced Excel skills: pivot tables, lookups, formula building, and comfort building reporting from raw ERP and retailer exports.
- Working knowledge of EDI, UPC/EAN setup, and retailer vendor portals; department store experience is a plus.
- Strong command of the wholesale calendar: market, start ship dates, receipt flow, and reorder cadence.
- Exceptional organization and follow-through; you track the details no one else is tracking.
- Clear, professional written communication with buyers, planners, and internal partners.
- A collaborative, solutions-oriented approach and genuine interest in the denim and premium advanced contemporary market.
Reporting Structure & Growth Path
- This role reports directly to the Head of Wholesale Sales.
- The Sales Assistant is a foundational corporate role with room for growth and development.
Travel Requirements
- Regular local travel is required.
- Employee is expected to visit wholesale accounts, department stores, and partner locations a minimum of one day per week, or more frequently as business needs require.
- Occasional overnight travel may be required for market appointments, trade shows, store openings, events, trainings, or other business initiatives.
