Job Summary
We are seeking an energetic and detail-oriented Office Manager/Bookkeeper to oversee daily administrative operations and manage financial records within a dynamic office environment. This role combines essential office management responsibilities with accurate bookkeeping duties, ensuring smooth workflow, efficient communication, and precise financial tracking. Duties
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records
- New Employee Onboarding
- This position doubles as Human Resources
- State licensing compliance and Renewals
- Perform data entry tasks accurately using productivity software such as Microsoft Office and spreadsheets to update client information, invoices, and financial records
- Utilize QuickBooks or similar accounting software to process invoices, track expenses, reconcile accounts, and prepare financial reports and Payroll
- Monitor an accurate PL which will include Vendor discounts and negotiations when necessary
- Coordinate calendar management for staff members, schedule appointments, meetings, and ensure timely follow-up on action items
- Provide exceptional customer service by responding promptly to client inquiries via phone or email and maintaining positive client communication
- Proofread documents for accuracy and clarity, ensuring all correspondence adheres to professional standards
- Support administrative tasks such as filing, document proofreading, typing correspondence, and managing office supplies
- Manage Vendor Relationships
Experience
- Previous experience in office management or administrative roles with a strong background in bookkeeping or accounting functions
- Proficiency in QuickBooks or comparable accounting software is essential
- Demonstrated ability to handle multi-line phone systems with excellent phone etiquette and communication skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry skills
- Experience managing calendars, scheduling appointments, and organizing meetings efficiently
- Clerical experience including filing, proofreading, typing documents accurately, and supporting front desk operations
- Exceptional organizational skills with the ability to prioritize tasks effectively while maintaining attention to detail
