Job Summary
We are seeking an experienced estate planning paralegal or financial services administrator to manage complex, high‑net‑worth client matters with a strong emphasis on project management, asset organization, and financial coordination. This role is ideal for someone with a background in financial services, asset management, wealth management, or private banking, who understands the intricacies of high‑value portfolios and family office dynamics.
While traditional legal drafting is not the core focus, familiarity with estate planning documents is expected. The role requires exceptional organizational skills, client service, and the ability to coordinate multiple workstreams across legal, financial, and tax advisors.
Key Responsibilities
- Manage all aspects of high‑net‑worth estate planning files, acting as the primary point person to ensure seamless execution from inception to completion of the client’s estate plan.
- Coordinate asset information, including collecting, organizing, and maintaining detailed records of investment accounts, business interests, real estate holdings, insurance, and other complex assets.
- Serve as a liaison among attorneys, financial advisors, accountants, trustees, and clients to ensure accurate communication and follow‑through.
- Track project timelines, deliverables, and outstanding tasks; proactively identify next steps and potential issues.
- Assist in the preparation and organization of schedules of assets, trust funding tasks, beneficiary designations, and related estate planning action items.
- Prepare documentation related to trust funding and asset transfers; communicate with financial institutions to execute instructions.
- Maintain and update client estate plans, including coordinating revisions and ensuring consistent version control.
- Support attorneys in complex planning matters including charitable structures, and multi‑generational planning.
- Bonus: Prepare or assist with the preparation of gift tax returns (Form 709) and/or estate tax returns (Form 706).
- Manage internal systems, file workflows, and databases to ensure compliance and accuracy.
Qualifications
- Bachelor’s degree required; paralegal certificate preferred.
- 3+ years of experience in estate planning, financial services, wealth management, asset management, or a related field working with high‑net‑worth clients.
- Strong understanding of financial accounts, asset titling, and wealth management concepts.
- Exceptional project management skills; ability to juggle multiple complex matters simultaneously with precision.
- Highly organized, meticulous, and detail‑oriented.
- Strong communication skills and ability to interface professionally with sophisticated clients and advisors.
- Proficiency with Microsoft Office; experience with estate planning or wealth management software a plus.
- Ability to maintain strict confidentiality in handling sensitive financial and personal information.
Preferred Skills (Not Required)
- Experience preparing Form 709 Gift Tax Returns.
- Experience supporting Form 706 Estate Tax Returns.
- Experience working in a law firm, private bank, RIA, or family office environment.
- Familiarity with advanced estate planning strategies and structures.
Pay: $65,000.00 - $85,000.00 per year
