About the Position:
The Clinical Coordinator serves as a key operational and patient-support team member responsible for coordinating patient intake, appointment scheduling, documentation, communication, and follow-up across the occupational medicine care process. This role requires excellent attention to detail, strong communication skills, comfort working in multiple technology platforms, and a commitment to delivering timely, professional service to patients, providers, employers, claims professionals, and internal team members.

Responsibilities:

Patient Intake
-
Patient outreach and communication for appointment scheduling
-
Medical, claim, demographic information collection for onboarding
-
Data entry into various EHR, billing, operational systems
-
Verify completeness and accuracy of patient, claim, employer, and provider information.

Clinical Management/Administration
-
Provide strong customer service to all stakeholders (patients, internal/external medical providers, adjusters, attorneys, nurse case managers) with follow ups ensuring patient care is delivered quickly and completely.

Track patient progress from intake through completion of recommended services.

Monitor assigned work queues and ensure timely completion of tasks with appropriate documentation.

Escalate urgent, incomplete, or complex cases to the appropriate internal team member.

Coordinate with external facilities to confirm service availability, referral requirements, scheduling instructions, and documentation needs.

Support timely delivery of medical records, reports, work status updates, and related documentation.

Maintain accurate, objective, and professional notes in internal systems.

Inbound/outbound phone calls, text, emails

Process Improvement

Assist with identifying gaps in workflow and recommending process improvements.

Proficiency in general business-related technology resources including Microsoft Office and Adobe suite required. Preferred experience in Monday.com, EHRs.

Minimum GED or high-school diploma, bachelors degree preferred
Preferred Qualifications:

Prior experience in healthcare administration, care coordination, medical records, workers’ compensation, occupational medicine, telehealth, or claims-related workflows.
