We’re currently seeking reliable, and conscientious individuals for a Truck Equipment office Assistant position in our Buffalo office.
A Truck Equipment Admin oversees the documentation, maintenance, and logistics of heavy-duty vehicles and specialized machinery. This role ensures operational efficiency by processing repair orders, managing parts inventory, coordinating equipment dispatch, and maintaining regulatory compliance for the fleet.
Core Responsibilities
- Work Order & Service Administration: Create, track, and close work orders for shop technicians and mobile service units. Review repair sheets for accuracy and update customers on repair timelines.
- Inventory & Purchasing: Maintain parts and equipment stock levels, track specialized attachments, and issue purchase orders to suppliers.
- Fleet & Asset Management: Monitor vehicle utilization and GPS data, process fuel card reports, and manage toll accounts.
- Compliance & Documentation: Coordinate vehicle registrations, title work, and safety inspection records.
- Customer Service: Act as a liaison between the service department, sales team, and clients regarding equipment availability, mechanical issues, and billing.
Key Requirements
- Education: High school diploma or equivalent. Post-secondary education in logistics or business administration is often preferred.
- Experience: 1–3 years of administrative experience, ideally within a trucking, construction, or heavy equipment dealership environment.
- Technical Skills: Proficiency in office productivity suites (MS Office, Google Workspace) and familiarity with industry-specific software (e.g., Karmak, Soarr, ERP systems).
Soft Skills: Strong organizational, multitasking, and communication skills to field requests from both office and field personnel
Pay: $22.00 - $24.00 per hour
