Duties
- Greet visitors, clients, and vendors warmly, ensuring a positive experience from the moment they arrive
- Manage multi-line phone systems efficiently, directing calls accurately and courteously
- Handle incoming correspondence, emails, and inquiries with professionalism and promptness
- Maintain front desk area, ensuring it is tidy, organized, and welcoming at all times
- Support office management tasks such as filing, data entry, and document proofreading
- Assist with calendar management and scheduling appointments for staff or executives
- Perform basic bookkeeping tasks using QuickBooks or similar software to support financial record-keeping
- Facilitate office supplies inventory management and reorder as needed
- Provide customer support by addressing inquiries or redirecting them to appropriate departments
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
Skills
- Proven experience in front desk operations or office management roles with strong clerical skills
- Excellent customer service abilities coupled with professional phone etiquette
- Bilingual proficiency is highly desirable to assist a diverse clientele effectively
- Strong organizational skills with attention to detail in data entry, filing, and proofreading tasks
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
- Ability to manage multiple priorities efficiently using excellent time management skills
- Experience with calendar management and personal assistant responsibilities preferred
- Familiarity with multi-line phone systems and office equipment operation
- Demonstrated ability to handle administrative tasks such as bookkeeping, data entry, and document proofreading confidently
