We are seeking a highly organized and experienced Financial Operations Manager with a strong background in property management accounting and financial oversight. This individual will oversee the financial operations of our portfolio while helping build scalable systems, improve reporting, and ensure financial accuracy across multiple entities.
Position Summary
The Financial Operations Manager serves as the financial leader for Peak Property Management and Five Star Vacay, working closely with ownership and the Director of Operations to oversee the company's accounting functions, financial reporting, cash management, and operational financial performance.
This position is responsible for ensuring the accuracy and integrity of all financial records, managing accounting workflows, overseeing accounts payable and receivable, supervising bookkeeping staff, monitoring property performance, and implementing financial systems and controls.
We are looking for someone who understands property management accounting, is highly analytical, exceptionally organized, tech-savvy, and capable of leading financial operations in a growing multi-state company.
Primary ResponsibilitiesFinancial Leadership
- Oversee the financial operations of multiple entities and property portfolios.
- Prepare and review monthly financial statements and owner reporting packages.
- Monitor property financial performance and identify trends.
- Assist leadership with budgeting, forecasting, and financial planning.
- Develop and improve internal financial controls and accounting procedures.
- Ensure compliance with company policies and accounting standards.
Accounting Oversight
- Supervise accounts payable, accounts receivable, and bookkeeping functions.
- Review account coding and general ledger accuracy.
- Perform monthly bank and balance sheet reconciliations.
- Review security deposits, trust accounts, and operating accounts.
- Ensure timely vendor payments and owner distributions.
- Oversee month-end and year-end closing processes.
Property Management Accounting
- Monitor rent collections and delinquency reporting.
- Review leasing activity and rental income reporting.
- Analyze property expenses and operating budgets.
- Assist with financial aspects of property acquisitions and transitions.
- Ensure financial data is accurately entered into property management software.
- Support annual audits and tax preparation.
Team Management & Accountability
- Supervise bookkeeping and accounting support staff.
- Monitor staff productivity and work quality.
- Ensure deadlines are consistently met.
- Develop accounting SOPs and best practices.
- Train and mentor team members.
- Create accountability through reporting and measurable performance standards.
Financial Systems & Technology
- Oversee accounting software and financial reporting systems.
- Improve workflows through automation and technology.
- Assist with software implementation during property acquisitions.
- Maintain financial dashboards and KPI reporting.
- Work closely with operations to improve efficiency between accounting and property management.
Executive Support
- Provide ownership and leadership with accurate financial analysis.
- Present recommendations for improving profitability and operational efficiency.
- Identify financial risks and opportunities.
- Support strategic planning through financial reporting and forecasting.
Qualifications
We're looking for someone with:
- 5+ years of experience in property management accounting or real estate finance.
- Strong understanding of trust accounting and property management financials.
- Experience supervising accounting or bookkeeping staff.
- Strong knowledge of accounts payable, accounts receivable, reconciliations, and financial reporting.
- Experience preparing monthly owner financial statements.
- Excellent analytical and problem-solving skills.
- Exceptional organizational skills and attention to detail.
- Strong leadership and communication abilities.
- Ability to manage multiple entities and deadlines simultaneously.
Technology Experience
Preferred experience with:
- AppFolio
- Rent Manager
- QuickBooks
- Microsoft Excel (advanced preferred)
- Microsoft 365 (Outlook, Teams, SharePoint)
- Property management accounting systems
- Financial reporting software
