Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
- Perform data entry, bookkeeping using QuickBooks, and basic office management tasks to support daily operations
- Assist with calendar management and scheduling appointments or meetings for staff and executives
- Support clerical tasks such as proofreading documents, preparing reports, and managing correspondence
- Provide excellent customer support by responding promptly to inquiries via phone or email and ensuring a positive experience for all visitors and clients
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and data entry tasks
- Excellent computer literacy, including typing speed and accuracy
- Bilingual abilities are a plus to assist diverse clientele effectively
- Prior administrative or clerical experience preferred; personal assistant experience is a bonus
- Strong time management skills with the ability to prioritize tasks efficiently
- Knowledge of office management procedures, filing systems, and office equipment operation
- Exceptional phone etiquette skills with experience managing multi-line phone systems
