This isn't a role where you'll be buried in busywork or left wondering if your contributions matter. As our Patent Paralegal, you'll be the operational engine behind our entire patent practice; the person who ensures every deadline is met, every client feels informed and valued, and every case moves forward with precision and care. You'll work directly with our lead attorney and senior patent associate, becoming a trusted partner in protecting the innovations that define our clients' businesses. Your work will directly impact startups, solo inventors, and small businesses who are counting on us to help them own their market.
You'll have full ownership of your projects, the autonomy to take initiative, and the trust to manage your work without micromanagement. This is a role where your organizational genius, your client communication skills, and your ability to anticipate needs before they're voiced will be recognized, valued, and rewarded. In the first 90 days, you will conquer the following:
30-Day Deliverables:
- Master Innovent Law's practice management systems (Practice Panther, Notion, Trello) and independently manage the firm's master deadline calendar with 100% accuracy.
- Onboard 10 new clients by sending engagement letters, intake forms, and invoices within 24 hours of case assignment.
- Conduct 8 proactive client communications regarding upcoming USPTO deadlines, demonstrating your ability to manage client expectations with professionalism and finesse.
60-Day Deliverables:
- Reduce average lead time from client intake to final filing by 20% through proactive project tracking and attorney coordination.
- Maintain a 100% on-time deadline compliance rate across all active patent matters, with zero missed USPTO deadlines.
- Update and organize client patent portfolios for 2 clients, ensuring all dockets and tracking spreadsheets are current and accessible.
90-Day Deliverables:
- Independently manage the full lifecycle of 10 patent matters from intake to issuance, including all client communications, deadline tracking, and administrative coordination.
- Deliver a 90-day performance report highlighting process improvements implemented, client satisfaction metrics, and recommendations for operational efficiency gains.
- Receive positive feedback from at least 1 clients regarding your responsiveness, professionalism, and ability to communicate complex patent updates in clear, accessible language.
You are a proactive self-starter who doesn't wait to be told what to do; you anticipate needs, take ownership, and follow through with relentless persistence. Your communication skills are exceptional: you know how to deliver not-so-great news with diplomacy and finesse, and you're equally comfortable on email and phone calls with clients who need reassurance, clarity, or a gentle nudge. A single missing letter in a name could cost a client their rights, and you understand that level of responsibility. ###Technical Skills
You bring at least two years of hands-on experience in US patent paralegal work or patent law, with a strong understanding of USPTO procedures and patent prosecution workflows. You're highly proficient in managing complex dockets, tracking deadlines across multiple matters, and maintaining organized client portfolios. You're tech-savvy and adapt quickly to new software platforms; whether it's practice management tools like Practice Panther, project management systems like Notion and Trello, patent docketing software, or AI automation. Your written and verbal English is exceptional: clear, precise, and professional. You know how to break down complex legal and technical information into plain, accessible language that clients can understand.
### Must Haves
You need to be a proactive self-starter who takes ownership of projects without waiting to be asked, and you must be comfortable with phone calls and direct client communication; if you're too shy for phone skills, this isn't the right fit. You must be able to maintain regular overlap with US Pacific Time during core business hours, and you need a reliable internet connection and professional remote work setup. We're looking for someone who wants to grow with the firm, not just someone who will clock in and out. You should be tech-savvy, adaptable, and comfortable learning new software quickly.
Preferred qualifications include a law degree (LLB, JD, or equivalent), prior experience working remotely with a US law firm, and familiarity with patent docketing software or practice management platforms.
