Job Summary
We are seeking a proactive and detail-oriented Property Management Assistant to join our dynamic team. In this role, you will support the daily operations of property management, ensuring smooth communication between tenants, vendors, and internal teams. Your expertise in property leasing, administrative processes, and legal compliance will help maintain high standards of customer service and operational efficiency. This position offers an exciting opportunity to develop your skills in real estate administration while contributing to the success of our property portfolio.
Responsibilities
● Answering phones, greeting walk-ins, tenants, owners, and vendors
● Communications via phone (voice mail), email, text, AppFolio, social media, and in person for prospective tenants, tenants, owners, and vendors
● Owner Communication.
● Tenant Leases: Move-Out and Move-In Process; tracking of lease cycle dates.
● Tenant Inspection & Compliance with lease provisions including pre-move-in inspections, quarterly inspections, surprise inspections, and move-out inspections.
● Tracking of vacant properties to fill including marketing to prospective Tenants.
● Check the showing calendar daily to confirm any showings on vacant properties.
● Conduct property showings for rental properties including meetings with prospective tenants.
● Receiving rent money and other property management-related items including daily deposits
● Oversee maintenance process including assigning work orders, owner approvals as needed, following up with tenants on work order status, vendor communications/scheduling, and billing work orders.
● Process security deposits according to procedure and necessary timelines
● Inventory and supply ordering.
● Tenant Application process when applicable
● Web Site assistance as needed including updating, advertising, and reconciling properties for marketing.
● Assisting with onboarding new properties including file transition and communications
● Assisting with rental turnover to include field work, trash management, property checks, and documentation
● Assisting with field work such as property checks, inspections, and supplies
● Working with the remote leasing team including communicating in the group chat for any and all updates
● Cross training amongst multiple departments and sister companies
● Working together with the team in a cohesive way
● Exceeding Service Expectations with Tenants and Owners
● Phones, Copier (Copy, Print, Scan), Computer skills, and DocuSign
● File Systems and Organization
● Key maintenance
● Assist Real Estate office with agents and window displays and other tasks.
● Maintaining an active Driver’s License
● Office look and feel- first impression, assist (music on, TV on in the conference room, outdoor lights on when it’s dark, open sign, entryway)
● Action Plans: specific action plans to be incorporated.

Pay: $17.00 - $18.00 per hour
