Overview
We are seeking a dedicated and detail-oriented Office Support Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office environment. This position requires strong organizational skills, proficiency in data entry, and the ability to manage multiple tasks efficiently. The Office Support Assistant will be responsible for various administrative duties that contribute to the overall success of our organization.
Duties
- Answer the phone, greet guests, and distribute keys
- Prepare and email documents for Board of Director and Association meetings
- Maintain accurate records of owner’s communications and information.
- Maintain and update office filing systems, both physical and electronic.
- Prepare communications to homeowners regarding new policies, association notifications, updates, etc.
- Collaborate with vendors and service providers for office needs.
- Enter and proofread data, such as records or reports.
- Order office, cleaning, and other supplies and manage inventory.
- Process invoices, payments, and receipts accurately and in a timely manner.
- Preparation of resale certificates, documents, and distribution.
- Assist with payroll processing and employee benefit management.
- Ensure the office operates efficiently, managing day-to-day office functions.
- Assist with special projects as required by the management.
- Support as needed with other administrative tasks.
Skills
- Proven experience working in an administrative role in an office environment.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in data entry and familiarity with office software applications.
- Experience with QuickBooks and Adobe is a plus but not mandatory.
- Excellent communication skills, both verbal and written.
- Ability to work independently as well as part of a team.
- Detail-oriented mindset with a commitment to accuracy in all tasks performed.
- Familiarity with calendar management tools and office equipment.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
