Job Description:
We are seeking a Part-Time Administrative Assistant to provide organizational and administrative support. This role will focus heavily on maintaining accurate records, updating spreadsheets, coordinating schedules, and tracking various student, volunteer, clinical, and attendance-related activities.
The ideal candidate will have previous office or administrative experience, strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This is an excellent opportunity for someone who is organized, collaborative, and comfortable working with data and calendars.
Key Responsibilities:
- Maintain and update shared spreadsheets used to track volunteer, leadership, clinical, and other program-related hours.
- Monitor and organize student evaluations, attendance records, and patient or community engagement data.
- Track activity and attendance associated with community service locations and related programs.
- Help verify that participants have completed required site training before scheduled assignments.
- Update calendars and communicate scheduling changes to the appropriate individuals.
- Coordinate calendar invitations and assist with scheduling needs across multiple programs.
- Provide administrative support for onboarding activities.
- Perform accurate data entry and maintain well-organized electronic records.
- Assist with additional administrative projects and departmental needs as assigned.
Qualifications:
- At least one year of administrative, office support, or related experience.
- Strong organizational skills with the ability to manage schedules, records, and multiple priorities.
- Previous experience with data entry and spreadsheet maintenance.
- Proficiency with Microsoft Office or Google Workspace; experience with Google Sheets is highly preferred.
- Excellent attention to detail and follow-through.
- Strong communication and interpersonal skills.
- Ability to work independently while also collaborating effectively with a team.
