Clinical Office Assistant/Patient Relations Specialist PartTime 20-25 Hr/Week
Front office professional for extremely busy concussion clinic, patient-centered role with high level multi-modal communication with patients in person, via phone, email, scheduling, patient in-take and routing processes, review of treatment plan and information, practice management account management, payments and reports, administrative projects and tasks. Collaborating with co-workers, Operations Director, and Doctor is a core function for all team members.
Position is responsible for professionally representing the practice, learning and mastering scripts and protocols for patient communication, confidentially handling patient information, account management using ASPC practice management system, daily/weekly/monthly report generation to Director of Operations, assisting patients claim reimbursement with statement and/or clinical notes, assisting with clean office, and various administrative projects and tasks.
The role involves administrative tasks such as creating and editing documents, various projects with strong online proficiency, computer and processing skills and use of Google Drive. Any website or social knowledge or experience is helpful.
This position involves direct interaction with our patients and professional affiliates. Professional dress and demeanor are essential requirements of the job.
Part-Time 20-25 hours/week A typical schedule is 3 days per week
*plus as needed fill-in for other team members on vacation or out of office, etc.:
WEEKLY OFFICE SCHEDULE:
Monday: 730AM- 530PM
Wednesday: 730AM- 1230PM
Friday: 7:30 AM-12:30 PM
*OCCASIONAL COVERAGE ***Additional hours on Tuesdays or Thursdays as needed for staff members out of office/vacations occurring throughout the year;
Job Responsibilities
- Greet all patients in a professional and courteous manner upon their arrival to the clinic that reflects our dedication to individualized care and support
- Learn, master, and consistently utilize established patient communication scripts and protocols to ensure accurate, professional, and consistent messaging across all patient interactions.
- Manage appointment scheduling/rescheduling/cancellations while making effort to meet patients’ needs
- Manage patient in-take process, appropriate forms completed, patient files, and routing patients to treatment rooms
- Collect and enter all patient information into ASPC practice management (PM) system, verify all collected information, collect payments
- Responsible for patient billing according to policies and procedures, utilizing ASPC PM, Google Drive Documents, Word Processing and Email
- Responsible for account management utilizing ASPC PM system, and providing claims reimbursement statements and clinical note requests for patients
- Produce daily/weekly/monthly reports as requested by Director of Operations utilizing ASPC PM system, Google Drive, MS Word, Excel, Powerpoint
- Ensure confidentiality of all patient records
- Maintain a professional, clean, office environment
- Conduct oneself in a professional manner during all patient and co-worker interactions
- Collaborate and communication daily with staff
- Complete projects and tasks as assigned by Director of Operations
- Daily communication to Director of Operations
Skills and Qualifications
- High school diploma; Associate’s degree or higher preferred
- At least 1 year of experience in clinical office setting preferred with Practice Management (PM) system and billing/claims experience
- Customer/Patient service skills and welcoming demeanor required
- Professional attitude, dress, and excellent communication skills with patients, staff, and management
- Computer literacy, word processing, email, online task-sharing platforms (e.g. Google Drive, MS Suite, Email, etc). Experience using PM Software, and electronic data processing systems.
- Excellent time management and organizational skills, including the ability to multi-task, prioritize tasks, and work well with co-workers
- Strong teamwork ethic and collaboration
- Any social experience/website management/graphic design is a plus
