Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Coordinate calendar management and scheduling for team meetings, appointments, and events using productivity software and calendar tools
- Perform data entry tasks accurately within spreadsheets and client databases, ensuring all records are up-to-date and organized
- Handle clerical responsibilities such as filing, proofreading documents, and maintaining office supplies inventory
- Provide excellent customer service by assisting clients via phone or in person, addressing inquiries promptly and professionally
- Support office management activities by organizing files, preparing reports, and managing correspondence
- Utilize technical proficiency with Microsoft Office Suite (Word, Excel) and QuickBooks for financial record keeping and document processing
Requirements
- Proven office management or administrative experience with strong organizational skills
- Proficiency in Microsoft Office applications including Word, Excel (spreadsheets), and productivity software; familiarity with QuickBooks is a plus
- Excellent computer skills with the ability to perform data entry, word processing, and file management efficiently
- Strong communication skills with the ability to handle phone communication professionally and courteously
- Bilingual abilities are preferred to effectively serve diverse clients and team members
- Experience with multi-line phone systems and front desk operations is highly desirable
- Demonstrated time management skills with the ability to prioritize tasks effectively in a fast-paced environment
- Personal assistant or office experience that includes calendar management and client communication is advantageous
- High school diploma or equivalent required; additional certifications in office administration are a plus
