Position Summary
The Veterinary Client Care & Hospital Assistant is a cross-trained team member responsible for providing exceptional client service while assisting with the daily operations of the hospital. This position combines front desk responsibilities with veterinary assistant support and general hospital maintenance. Team members are expected to provide compassionate care to clients and patients while helping maintain a clean, organized, and efficient hospital environment.
This is an entry-level position with opportunities for growth. Previous experience in veterinary medicine or customer service is appreciated but not required. We are happy to train the right individual who is dependable, compassionate, eager to learn, and excited to work as part of a collaborative team. As you develop your skills, there may be opportunities to take on additional responsibilities and advance within the hospital.
This position is ideal for someone who enjoys staying busy, takes initiative, and thrives in a collaborative environment. Team members are expected to recognize when something needs to be cleaned, stocked, organized, or completed and address it without waiting to be asked.
Essential Responsibilities
Client Care & Reception
- Greet clients and patients warmly, professionally, and compassionately.
- Answer incoming phone calls promptly and courteously.
- Schedule, confirm, and modify appointments accurately.
- Check patients in and out for appointments.
- Process payments and assist clients with invoices.
- Respond to emails, voicemail messages, and online inquiries as directed.
- Maintain accurate client and patient medical records.
- Communicate professionally with clients regarding appointments, medication refills, and follow-up care.
- Provide exceptional customer service and create a welcoming experience for every client and patient.
Veterinary Assistant Support
- Safely restrain patients during examinations and procedures when appropriately trained.
- Assist veterinarians and veterinary technicians with patient handling and basic patient care.
- Prepare laboratory samples for shipment or in-house diagnostics following hospital protocols.
- Label, package, and organize laboratory samples accurately.
- Clean and disinfect examination rooms between appointments.
- Prepare examination rooms with necessary supplies and equipment.
- Restock treatment areas, examination rooms, and laboratory supplies.
- Assist with patient admissions and discharges as directed.
- Help maintain a clean, organized, and efficient treatment area.
Hospital Operations & Maintenance
- Fold, organize, and restock clean laundry throughout the day.
- Wash, dry, and organize towels, blankets, and other hospital linens.
- Stock examination rooms, treatment areas, and supply cabinets.
- Clean cages, carriers, hospital equipment, countertops, and other surfaces according to hospital protocols.
- Sweep, mop, vacuum, dust, and disinfect hospital areas.
- Empty trash, recycling, and biohazard waste according to hospital procedures.
- Monitor inventory and notify supervisors when supplies are running low.
- Help maintain a clean, safe, and welcoming environment for clients, patients, and staff.
Team Responsibilities
- Assist coworkers whenever needed to maintain an efficient workflow.
- Transition between reception, animal care, and hospital support duties throughout the day.
- Follow all hospital safety, sanitation, and infection control protocols.
- Maintain patient confidentiality and professionalism at all times.
- Participate in staff meetings and ongoing training.
- Be willing to learn new skills and cross-train in additional areas of the hospital.
- Perform other duties as assigned to support hospital operations.
Qualifications
- High school diploma or equivalent required.
- Previous experience in veterinary medicine, animal care, customer service, or reception is preferred but not required.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Comfortable learning veterinary software and basic office technology.
- Ability to remain calm, compassionate, and professional in a fast-paced environment.
- Ability to work independently while also functioning as part of a collaborative team.
- Positive attitude, strong work ethic, and willingness to help wherever needed.
Physical Requirements
- Ability to stand and walk for extended periods throughout the workday.
- Ability to bend, kneel, crouch, reach, and perform repetitive tasks.
- Ability to lift and carry up to 20 pounds independently.
- Ability to safely handle and restrain small animal and exotic patients after appropriate training.
- Comfortable working with a wide variety of species, including birds, reptiles, rabbits, guinea pigs, ferrets, rodents, hedgehogs, amphibians, and occasional dogs and cats.
- Ability to work around animal dander, feathers, hay, bedding, cleaning products, disinfectants, and laboratory specimens.
- Ability to perform routine cleaning, stocking, laundry, and organizational tasks throughout the hospital.
