Director of Operations
Ryan Goolsby State Farm Agency — Hoover & Vestavia, AL
Position Summary
We are looking for a high-capacity Director of Operations to help lead, organize, and scale a fast-growing State Farm agency with two Birmingham-area locations.
This is not a “paper-pusher” role. We need someone who can create structure, hold people accountable, improve daily execution, and help turn a talented team into a disciplined, consistent, high-performing organization.
The right person will be highly organized, confident leading people, comfortable with numbers, strong in communication, and able to bring calm, clarity, and follow-through to a busy insurance and financial services office.
What You’ll Own
The Director of Operations will be responsible for making sure the agency runs smoothly every day and that the team is executing the systems, expectations, and priorities that drive growth.
Key responsibilities include:
Team Accountability
- Lead daily and weekly accountability rhythms.
- Track team activity, production, follow-up, and service standards.
- Make sure sales and service team members know what is expected and are following through.
- Help identify performance issues early and address them directly.
Training & Onboarding
- Build and maintain onboarding systems for new hires.
- Coordinate training for sales, service, quoting, and client onboarding roles.
- Ensure new team members are ramping up quickly and learning the agency’s processes.
- Reinforce scripts, workflows, and client experience standards.
Office Operations
- Oversee day-to-day operations across both Hoover and Vestavia locations.
- Help manage schedules, meetings, workflows, task ownership, and communication.
- Ensure the right people are in the right seats and that work is not falling through the cracks.
- Improve efficiency across quoting, sales, onboarding, service, and follow-up.
Process Improvement
- Document and refine agency systems.
- Create checklists, scorecards, workflows, and accountability tools.
- Identify bottlenecks and propose better ways to operate.
- Help the agency scale without becoming chaotic.
Recruiting & Hiring Support
- Help source, screen, and evaluate potential new team members.
- Assist with interviews and onboarding planning.
- Help build a stronger bench of future talent.
Client Experience
- Ensure clients receive consistent, professional, and proactive service.
- Support systems that improve retention, reduce lapse/cancel rates, and increase client reviews.
- Help create a polished onboarding and review experience for new and existing clients.
What Success Looks Like
A successful Director of Operations will help the agency:
- Run tighter meetings.
- Improve team accountability.
- Reduce dropped balls and missed follow-ups.
- Increase consistency across both offices.
- Shorten new-hire ramp-up time.
- Improve service execution and retention.
- Help salespeople spend more time selling.
- Create cleaner workflows that can scale as the agency grows.
Bluntly: if the agency feels chaotic, this person brings order. If the team is drifting, this person brings focus. If expectations are unclear, this person makes them clear.
